Reception stages for Kothrud karyalayas and banquet halls. Designed to the ceiling the room actually has, inside the hall’s own rules, and struck in time for the next booking.
Receptions here mostly happen in the mangal karyalayas and older banquet halls the neighbourhood is full of. They are good rooms, well used and well run, and almost all of them come with a house rulebook.
Some have a tie-up decorator. Some allow outside decorators but not outside sound. Most have a hard turnaround because there is another function the next morning. All of that decides the design before anyone opens a mood board.
The other constraint is height. These halls were not built with ten-foot floral backdrops in mind, and a stage that looks magnificent in a photograph of a five-star ballroom simply does not fit.
Every line here is decided by the room before it is decided by the design.

Measured on site. A backdrop designed for a ballroom looks wrong and fits worse in a karyalaya.
The hall’s own fittings are part of the plan rather than something to fight, with our light added where it is missing.
The gate, the welcome table and the gifting corner, because that is the first thing four hundred people see.
Stage steps, the photograph line and the way out, arranged so the greeting line does not stall.
Struck the same night where the hall needs it, because somebody else has that room in the morning.
Every photo here is from an event our team planned and ran.
A stage and entrance built to the hall’s own height and fittings.
Indoors with full stage, lighting and entrance treatment.
Where the hall has ground attached, with the stage inside and the welcome outside.
Fresh flower work across the backdrop, ordered for the evening it is needed.
Clean panels, light and one strong idea instead of a full floral wall.
A circular or arched frame as the central photograph of the night.
Decorated entry, welcome table and gifting corner as a separate scope.
A morning mandap reworked into an evening stage in the same hall.
A reception stage is the most photographed object of the whole wedding, and in Kothrud it is almost always going into somebody else’s room.
Many karyalayas here have a tie-up decorator, and some will not allow an outside one at all. Others allow decor but keep sound and catering in house. There is no point designing a stage for a hall that will not let us build it, so the first conversation is with the venue, not about flowers.
Older halls run low, and some have beams, fans or a false ceiling in exactly the wrong place. A ten-foot backdrop in an eleven-foot room looks cramped rather than grand. We measure, and then we design wide instead of tall, which photographs better in those rooms anyway.
Guests see the gate, the welcome table and the gifting corner before they see the stage, and most reception budgets spend almost nothing there. A decorated entrance costs a fraction of a stage and changes how the whole evening reads.
Four hundred people greeting a couple is a logistics problem wearing a sari. Steps up on one side and down on the other, the photographer with a place to stand, and the gifting table off the line — get that wrong and people wait forty minutes and leave without eating.
Most of these halls have a function the next morning, so the strike is the same night and it is written into the plan. See reception decoration for the full scope, mandap decorators in Kothrud for the ceremony, and wedding planning in Kothrud for the whole week.
Most people start here with a search rather than a recommendation, and the first results are the ones paying for the position or carrying the most reviews. Neither tells you whether a team has set up in a hall like yours.
Three questions separate the shortlist quickly: has the team worked in Kothrud before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Sometimes, and it is worth asking the hall directly rather than assuming. Many allow an outside decorator for a fee, some allow it for the stage but not the entrance, and a few do not allow it at all. If the hall says no we will say so immediately instead of taking a booking we cannot deliver.
Yes, if it is designed for that room rather than copied from a photograph of a ballroom. In a low hall we build wide instead of tall, keep the backdrop close behind the couple and put the drama into light and flower density. It photographs better than a cramped tall frame.
For a full stage, entrance and lighting, five to six hours is comfortable and four is tight. The problem in Kothrud is rarely our speed and usually the booking before yours. Tell us when the hall is actually free and the design is built to fit that window.
Yes, and we will push you to. Guests form their impression at the gate, and a decorated entrance, welcome table and gifting corner cost a small fraction of the stage. It is the line we would cut last, not first.
Where the hall requires it, yes, and most here do because there is a function the next morning. If the venue allows a morning strike we will take it, because an overnight clear-up carries a crew cost you would rather not pay.
The stage is the biggest line, and inside it fresh flower work is what moves the number most — the same frame can cost very differently depending on what is on it. Then lighting, then the entrance. Send the hall name, the date and the guest count and the scope comes back split that way.
There is no ranking that decides this, so the word means whichever team is right for your event. Plan With YOLO has planned events since 2013 out of Pune and handles mangal karyalaya reception, banquet hall reception and lawn-side reception in Kothrud. The same crew covers Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
Start with teams that already work in Kothrud — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Kothrud with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Kothrud are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
