A load-in that works
Early arrival, one-pass unload, vehicle away and back for the clear-up — planned and priced, not improvised.

Deccan is the commercial and institutional heart of old Pune — halls, colleges, associations, a bus stand and a shopping street, all within a few hundred metres and none of it with room to park.
Deccan is where a great deal of old Pune's public life still happens. Long-established halls, colleges, professional associations, cultural bodies and a shopping street, packed into a small area that everybody can reach. For attendance at a weekday event that is a real advantage — guests arrive by bus, by two-wheeler or on foot, and they actually turn up.
For the build it is among the hardest addresses in the city. There is no kerbside space, the roads do not thin out, and the halls are old enough that the lift was an afterthought. The plan is therefore built backwards from load-in: arrive early, unload in one pass, send the vehicle away, and have everything pre-assembled because there is no second trip.
The work is mostly formal — lectures, felicitations, association meetings, cultural programmes, book launches, prize distributions, and weddings in the older halls. What decides those events is the projection, the microphones and whether the programme starts and ends when it said it would.
Old rooms, short slots and the worst access in Pune.
Early arrival, one-pass unload, vehicle away and back for the clear-up — planned and priced, not improvised.
Screen sized to the room and the back row, with every deck checked on the actual screen beforehand.
Podium, lapel and handheld on separate channels, levels set per speaker, somebody on the desk throughout.
A clean formal set, pre-assembled and built in sections that pass an old lift or an old staircase.
Signage from the road to the room, because most of your audience will walk the last part.
Backdrops, standees, badges and certificates made in our own unit, so they never become the late item.
Single-speaker events where the projection and the microphone are the whole job.
Honouring events with a running order, citations and printed certificates.
AGMs and member meetings for bodies that have been based here for decades.
Annual days, prize distributions and cultural evenings in fixed-seat halls.
Launches with a panel, a clean backdrop and seating cameras can shoot past.
Music and dance programmes, where the stage and the monitors decide the evening.
Functions in the older halls, built and struck inside the booked session.
Small-format shows in the halls around the area.
The rooms are good. Everything difficult happens before the audience arrives.
Not the booking date — the hour the doors open to a crew. Many halls here hand over two or three hours before the event, and a build drawn for a full day cannot be done in three hours unless it was designed to be.
It cannot. Plan an unload rather than a park: everything off in one pass, carried in, vehicle gone. Anything that must come back comes back on a scheduled second trip that is in the price.
A hall on the first floor of a building from the sixties may have a lift built for four people and a staircase with a tight turn in it. The turn is what stops a long panel, not the width.
A presentation that reads at arm's length can be unreadable from row fifteen, and a font the venue machine lacks will reflow the whole thing. Collect the decks the day before and put each one up.
Which side of the road, which gate, which floor. Most of your audience arrives on foot from the bus stand or a two-wheeler parked two lanes away, and that paragraph does more for attendance than any decoration.
That search returns whoever advertises hardest in Deccan, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Three questions separate the shortlist quickly: has the team worked in Deccan before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
It will not. There is no kerbside standing in Deccan, so material is unloaded in one pass and the vehicle leaves and returns for the clear-up. Tell us the venue and the approach and we will tell you the load-in hour.
Yes, and it is most of the work here. We ask for the lift and staircase measurements first — the turn in the stairs matters as much as the width — and build in sections that pass.
Yes. Those are decided by projection, microphones and whether the programme keeps to time. We check every deck on the actual screen beforehand, set levels per speaker, and run the event to a printed cue sheet.
No. We coordinate the caterer you choose — menus, timings, counters and service on the day — but we do not cook and we take no cut of the food bill.
Yes, in our own unit, which is why they arrive on time. Lock the names early; printing is fast, but final spellings always arrive last.
For a hall event, four weeks, and the hall date usually forces it earlier. For a lecture or briefing, a week is workable. For a wedding, as early as the hall will take you.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles lectures and talks, felicitation programmes and association meetings in Deccan. The same crew covers Shivajinagar and Erandwane. Ask who is on site on the day and who answers the phone if something slips.
Start with teams that already work in Deccan — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Deccan with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Deccan are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
