Working to a venue slot
A build broken into a sequence that fits the hours you have been given, with the order fixed before the trucks move.

Balewadi has the stadium, the convention space, the wide approach roads and the newest towers in the city. It is the one part of Pune where the venue is rarely the constraint — the schedule is. We plan for that.
Most of Pune makes you design around a narrow lane, a small lift or a lawn that floods. Balewadi does not. The roads take a trailer, the venues were built this century with loading in mind, and the open ground around the sports complex can hold a build that would be impossible anywhere else in the city.
What Balewadi takes away instead is time. Venues here are booked back to back, so the hall you are setting up in was somebody else's function the night before and is somebody else's the night after. You are given a slot — often overnight — and the whole build has to land inside it. That changes how a job is planned: everything is pre-assembled, labelled and sequenced before it reaches site, because there is no second trip.
The residential half is the newest high-rise stock in the city, which means organised societies, proper service lifts and committees who will tell you exactly what is allowed. That is easier to work with than an old building, as long as you ask in writing and ask early.
From a society function to a build that needs a trailer and a night.
A build broken into a sequence that fits the hours you have been given, with the order fixed before the trucks move.
Structures sized properly, loaded properly and signed off, for stages that carry people and screens.
Screens, audio, lighting and the technicians who run them through the event, not just install them.
Registration, queue lines, marshalling and exits planned for the headcount rather than improvised at the gate.
Stage, screens, kitchen and lights calculated together, with a generator and reserve where the venue falls short.
Out on time, because the next booking starts when yours ends and the venue will charge for the overrun.
Full-day events with stage, screens, registration and breakout space.
Product reveals, awards and dinner in one evening, run to a minute-by-minute schedule.
Banquet functions where the guest count is in the high hundreds and flow decides the night.
Setups around the sports complex — start-finish gantries, stages, hydration and crowd control.
Stall builds and the shell-scheme work that goes with an organised show.
Annual days, Ganpati, Navratri and new-year nights inside the towers.
Reveal mechanics, lighting and press seating for a launch with cameras in the room.
Big birthdays and anniversaries, where the venue is a banquet and the build is a stage.
Balewadi rewards planning and punishes improvisation, because everything here runs on a booked slot.
Not "the hall is ours on Saturday" — the hour you may enter, the hour sound check must be finished, and the hour you must be out. Get it in writing from the venue. Every real quotation is built on those three numbers, and a build that ignores them costs overtime at the venue's rate.
A stage, an LED wall, a kitchen and ambient lighting together draw more than most venues hand over on a standard connection. We add it up first and bring a generator with headroom when the number does not fit. Discovering this during sound check is how an event starts forty minutes late.
With six hundred guests, the thing people remember is whether they could get in, find a seat, reach the food and leave. Entry points, queue space, signage and exits are worth more than another metre of floral. We draw the flow first and decorate the route afterwards.
A frame bolted together in the workshop goes up in a quarter of the time it takes on site. Where the slot is overnight, that difference is the whole job. It also means a part that does not fit is found in Anand Nagar on Tuesday and not in Balewadi at one in the morning.
Dates here go early, particularly in the wedding months and around the show calendar. Every other decision — scale, budget, design — follows from which room you got.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Compare the breakdown rather than the total, check the crew is theirs and not hired in, and ask what they have already done in Balewadi. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Yes. Larger too. What changes above a few hundred is not the décor but the logistics: entry, flow, power, marshalling and dismantle. Those are quoted as their own lines so you can see what the size is actually costing.
Production kit on this scale is hired in from the suppliers we work with regularly, and our own crew rigs and runs it. The printing and signage are made in our own unit, which is why those never arrive late.
Usually, if the build is planned for it. That means pre-assembly, a fixed load-in sequence and enough crew to work in parallel. Tell us the slot at the quotation stage, not after booking, because it changes the manpower line.
We set up on open ground in and around Balewadi, which needs its own infrastructure — flooring, power, lighting, water and access. Permissions for any specific venue are applied for with that venue and we help with the paperwork.
No. We coordinate the caterer you choose — menus, timings, counters and service on the day — but we do not cook and we take no cut of the food bill.
The honest answer is a range, and it depends far more on headcount, production and hours than on the decoration. Send the date, the guest count and what the venue has given you in writing, and you get a range the same day.
There is no ranking that decides this, so the word means whichever team is right for your event. Plan With YOLO has planned events since 2013 out of Pune and handles conferences and summits, dealer and channel meets and large weddings and receptions in Balewadi. The same crew covers Baner and Wakad. Ask which parts are handled in house and which are being passed to a third party.
Start with teams that already work in Balewadi — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Balewadi with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Balewadi are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
