Association and trust meetings
AGMs and member meetings for bodies based in the centre of the city.

Swargate is where half of Pune changes buses. It is brilliantly connected for your guests and brutal for a goods vehicle, so every plan here starts with when and where we can unload.
Swargate is the transport heart of the city — buses, metro, and every road from the south arriving at the same roundabout. For a function, that is a genuine advantage: your guests can get here from anywhere in Pune without a car, which is rarer than it sounds and which materially improves attendance at a weekday event.
For the people building the function it is the hardest access in the city. There is no kerbside space, no tolerance for a vehicle standing, and traffic that does not thin out until late. So the plan is built backwards from load-in: we arrive early, unload fast into the building, and the vehicle leaves and comes back. Material is pre-assembled and labelled because there is no second trip.
The work itself is mostly hall-based and mostly formal — association and trust meetings, felicitations, annual general meetings, small conferences, book launches, and weddings in the halls around the junction. The rooms are old, serviceable and tightly scheduled.
AGMs and member meetings for bodies based in the centre of the city.
Honouring events with a running order, citations and printed certificates.
Half-day and full-day sessions with projection, mics and a kept schedule.
Launches with a panel, a clean backdrop and seating cameras can shoot past.
Functions in the halls around the junction, built and struck inside the session.
Evening functions sized to the hall, with the entrance and stage as the main build.
Short-notice briefings with a branded backdrop and a working podium feed.
Stage, sound and seating for a large hall, with the crowd flow planned.
Formal rooms, tight slots and the worst load-in in Pune.
Early arrival, fast unload, vehicle away and back for the clear-up. Planned, quoted and stated in advance.
Frames bolted up in the workshop and labelled, so site time is assembly rather than construction.
Screen sized to the room and the back row, with decks checked on the actual screen beforehand.
Podium, lapel and handheld on separate channels, levels set per speaker, somebody on the desk throughout.
Signage and written directions for people arriving on foot from the bus stand or the metro, not from a car park.
Backdrops, standees, badges and certificates made in our own unit, so they never become the late item.
Everything about a Swargate event is normal except getting your material into the building, and that one thing deserves the whole plan.
Not the booking date — the hour the doors open to a crew. If the answer is three hours before the event, the build has to be designed for three hours, and that is a different build. Get it in writing.
It cannot. Plan an unload rather than a park: everything off in one pass, carried in, vehicle gone. Anything that needs to come back comes back on a second trip that is in the schedule and in the price.
A frame bolted together before it leaves goes up in a quarter of the time. It also means a part that does not fit is discovered in Anand Nagar on Tuesday rather than at Swargate on Saturday, which is the whole reason we do it.
Most of your guests will arrive by bus or metro and walk the last part. Which exit, which side of the road, which gate. That paragraph in the invitation does more for attendance than any amount of decoration.
An event that ends at seven and a crew loading at seven-thirty will sit in traffic until nine, and you will be paying for it. Dismantle happens immediately or late, and the quotation says which.
That search returns whoever advertises hardest in Swargate, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Three questions separate the shortlist quickly: has the team worked in Swargate before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
It will not. There is no kerbside standing at Swargate, so material is unloaded in one pass and the vehicle leaves and returns for the clear-up. Tell us the venue and the approach and we will tell you the load-in hour.
Yes. We ask for the lift and staircase measurements first and build in sections that pass. Where nothing passes it goes up the stairs and is joined on the landing, which takes longer and belongs in the plan rather than in the morning.
For attendance, it is one of the best in the city — buses and metro mean people come without a car. For the build it is the hardest, which is our problem rather than yours as long as the venue gives us an early entry hour.
No. We coordinate the caterer you choose — menus, timings, counters and service on the day — but we do not cook and we take no cut of the food bill.
Yes, in our own unit, which is why they arrive on time. Lock the names early; printing is fast, but final spellings always arrive last.
For a hall meeting or conference, four weeks, and the hall date usually forces it earlier. For a press briefing, a week is workable. For a wedding, as early as the hall will take you.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles association and trust meetings, felicitation programmes and small conferences in Swargate. The same crew covers Shivajinagar and Sahakar Nagar. Ask who is on site on the day and who answers the phone if something slips.
The shortlist worth having is teams who have set up in Swargate before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Swargate with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Swargate are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
