AGM Organisers in PuneA meeting that has to be provable afterwards

An annual general meeting is judged twice: once by the people in the hall and once by the record it leaves behind. We build the desk, the room and the run-sheet so both stand up.

  • Verification desk
  • Proxy handling
  • Poll support
  • Board seating
  • Recording
  • Remote attendance

Agm organisers in puneYour secretarial team sets the rules. We build around them

An AGM is not an event with a programme; it is a procedure with an audience. The order of business comes from your company secretary, the notice date fixes the calendar, and everything we arrange has to support a record that will be read long after the chairs are stacked. We do not advise on compliance. We build the logistics that let your compliance team do its job without chasing anybody.

That means an admission desk that verifies entitlement without creating a queue down the corridor, a hall laid out so the chair can see the floor and the floor can hear the chair, microphones that work the first time a shareholder stands up, a screen that shows each resolution as it is put, a clean recording, and a quiet corner for counting.

We work with listed companies, unlisted boards, co-operative societies and associations, in auditoriums, hotel halls and offices from Shivajinagar to the eastern business belt. Whatever the size, the same rule applies: nothing happens in the room that cannot be evidenced later.

  • Calendar built backwards from your notice date
  • Separate lines for members, proxies and invitees
  • Every resolution visible on screen as it is put
  • Continuous recording with a backup capture
  • A quiet counting room kept ready from the start

What AGM management coversDesk, hall and the record

Six things we take charge of so your secretarial team can concentrate on the meeting.

Attendance logistics

Printing, dispatch coordination and attendance tracking built around the notice and forms your secretarial team issues.

Verification desk

Identity and entitlement checked at admission, proxies handled on a separate counter, and the register kept clean and legible.

Hall layout and seating

Board table, chair's position, sightlines, aisles wide enough for movement, and a marked area for anyone addressing the meeting.

Sound, screen and recording

Table microphones, roving handhelds, resolutions displayed as they are put, and continuous recording with a second capture running.

Poll and counting support

Ballot distribution and collection, a secured counting room, and staff who follow the scrutiniser's instructions exactly as given.

Run-sheet to the agenda

The order of business turned into a timed sheet, with a show-caller who cues each item and logs when it happened.

Meetings we organiseFormal meetings, whatever the body

  • Company AGMsThe yearly statutory meeting, run to the order of business with attendance, resolutions and results all recorded.
  • Extraordinary general meetingsSingle-purpose meetings called at short notice, where speed of arrangement matters more than scale.
  • Meetings with electronic votingSessions where remote votes are already cast, needing screens, cut-off timings and a clear declaration sequence.
  • Board meetingsSmall private sittings before or after the main meeting, with name cards, papers and no public desk.
  • Society general body meetingsHousing and co-operative societies meeting members, often in a clubhouse or open ground with heavy walk-in attendance.
  • Association and trust meetingsMember bodies with elected office bearers, subscription verification at the desk and contested agenda items.
  • Hybrid general meetingsMembers attending on a link alongside the hall, with speaking turns and votes handled for both groups.
  • Post-meeting briefingsShort sessions after the formal close for questions, refreshments and informal conversation with the board.

    Showtime & wrap

Our crew runs the floor, the stage and the guests. When it is over, we clear the venue and send you the photos.

You getA calm host — you — and the memories

Plan an AGM as a chain of evidence with hospitality attached. Every item on the order of business leaves something behind — an entry, a signature, a file, a report — and the arrangements either make that easy or make it a scramble. Decide early who owns each piece of paper and the rest of the arrangement follows.

Work backwards from the notice

The notice date, not the meeting date, starts your clock, and your company secretary owns it. Once it is set, the venue must be confirmed before the notice goes out, because the address printed on it cannot quietly change afterwards. Fix the hall, the fallback hall and the date of any board sitting that precedes the meeting in the same week. Then place everything else on the calendar behind that line: printing, dispatch, the attendance list handed to the desk, the rehearsal, and the final walk-through with the chair. Short-notice meetings are perfectly manageable, but the venue and the desk have to be solved on the first day, not the last.

The desk is the meeting's first test

Admission decides the mood of the whole morning. Members arrive in a cluster, most of them close to the start, and a single line will still be moving while the chair is speaking. Split counters by category — members, proxy holders, representatives of bodies, and invited guests — and put the slowest category on its own counter so it never blocks the others. Give the staff a printed list plus a clear instruction on what to do with a case they cannot resolve, which is to route it to a named person from your secretarial team rather than to argue at the counter. Keep the register legible; it is the document everybody will ask for later. Open the desk earlier than feels necessary, keep drinking water and seating beside the queue for elderly members, and station one person whose only task is to point people to the correct counter before they join the wrong one.

Voting, ballots and the counting corner

Decide the voting method before the invitation is printed, because it changes the room. A show of hands needs nothing more than clear sightlines from the chair. A physical poll needs papers, boxes, a distribution route that reaches every row, and a lockable room with a table, a clock and no windows into the corridor. Where votes have already been cast electronically, the screen sequence and the announced cut-off matter more than anything physical, so rehearse the declaration with the person who will read it. In every case the scrutiniser works undisturbed and our staff follow their instructions rather than improving on them.

Hearing, seeing and joining from elsewhere

Sound is the one failure nobody forgives. Put a microphone on every seat at the board table, keep at least two roving handhelds with staff who can reach any row quickly, and test the room when it is full of soft furnishings rather than empty. Show each item on screen in plain, large type so the hall can read what is being decided. When members attend on a link, give them a way to be heard and a moderator who brings their questions to the chair at the right point in the order of business, and run the stream on its own connection; that streaming arrangement is explained on the hybrid event production page. Multi-session conferences and seminars, with speakers, tracks and delegate programmes, sit on our conference organisers page; this page deals with the meeting a body is obliged to hold.

What do AGM organisers in Pune actually handle?

They handle the venue, the admission desk, the hall layout, sound, screens, recording, poll logistics and the timing of the order of business. Your company secretary owns the procedure and the compliance; our job is to see that the room, the register and the record support it. On the day, a show-caller cues each item and logs when it happened.

How early should an AGM venue be booked?

Confirm the venue before the notice is issued, since the address printed on that notice should not change afterwards. In practice that means holding a hall as soon as the board fixes the date, and holding a fallback in the same area. Meeting seasons cluster, so halls of the right size get taken quickly in those weeks.

How do you keep the registration queue moving?

Split the desk by category and staff the slowest category separately. Members, proxy holders, corporate representatives and invited guests each need a different check, and mixing them into one line guarantees a jam. Anything unclear is routed to a named person from your secretarial team instead of being debated at the counter while others wait.

Can you support a poll or ballot during the meeting?

Yes, on the logistics side. We arrange papers, boxes, a distribution route that reaches every row, and a secured room with a table and a clock for counting. Our staff work to the scrutiniser's instructions exactly as given, and never interpret them. The scrutiniser and your secretarial team remain responsible for the process itself.

What drives the cost of organising an AGM?

Attendance size, the venue, how many desk counters and staff the admission process needs, the sound and screen setup, recording, and whether members join remotely. Refreshments and printed material scale with the crowd. A contested agenda usually means a longer meeting and more staff hours. Share your expected numbers and we will itemise the arrangement.

Can shareholders attend an AGM remotely?

Yes, where your company permits it. We set up the link, a camera on the chair and the board table, clean audio, and a moderator who carries questions from the link to the chair at the right moment. The stream runs on its own connection with a backup. Test every element on the day before, not on the morning itself.

Do you organise general body meetings for housing societies?

Yes. Society meetings bring heavy walk-in attendance, plenty of proxies and lively discussion, so the desk, the seating and the sound matter more than decoration. We set up in clubhouses, halls and open grounds, keep the register orderly, and make sure every member who stands up can be heard by the rest of the gathering.
