Yerawada runs from the airport road business district down to a dense old settlement by the river. One half books hotel ballrooms; the other holds a public Ganpati that fills the lane.
The northern end of Yerawada, along the airport road, is office and hotel territory. The work there is corporate and indoors — town halls, conferences, client events, product sessions, award evenings in hotel ballrooms. Hotels bring their own rules: an in-house AV desk, fixed rigging points, a stated load-in door and a banqueting manager whose schedule you fit into rather than around.
The southern end, towards the river, is one of the older settlements in the city, and its calendar is completely different. Public Ganpati with a real mandap and a procession. Community weddings where the guest list is the lane. Functions in whatever open space exists. The constraint there is width and crowd, not paperwork.
Between the two is the ordinary residential middle — societies, halls, family functions. The one thing that applies everywhere in Yerawada is the traffic on the airport road, which decides what time a vehicle can realistically arrive and leave.
Full-staff sessions with screens, mics and seating, run to a fixed clock.
Day events in hotel banqueting, with registration, breakouts and catering coordinated.
Hosted dinners with branding, a short programme and conversation-level sound.
Felicitation evenings with a cue sheet, citations and printed certificates.
Ten days of mandap, decoration and aarti, with a procession at the end.
Large guest lists in tight lanes, where flow matters more than the stage.
Annual days, Navratri and new-year nights inside the buildings.
Launches and briefings with a backdrop built for the camera.
A hotel ballroom, an office floor, or a mandap in the lane.
Load-in door, service lift, rigging points, in-house AV and the banqueting schedule, all agreed before we draw.
Screens, microphones on separate channels, recording where it is wanted, and a cue sheet that holds the schedule.
A clean corporate set with branding that photographs legibly, built inside the venue's hours.
Mandap, decoration, lighting, daily aarti arrangements and the immersion procession planned with the mandal.
Arrival and dismantle timed to the road, because an hour either side of peak is an hour of crew sitting still.
Backdrops, standees, badges and signage made in our own unit, so they never become the late item.
Yerawada asks for two completely different disciplines, and the mistake is bringing one to the other.
Ask for the load-in door, the service lift size, the rigging points and the banqueting schedule in writing, then design inside them. A hotel will say yes to most things asked two weeks ahead and no to almost everything asked on the day.
Many hotels include a screen, a projector and two microphones, and charge for anything beyond. Knowing exactly where that line sits stops you paying twice for the same thing, which happens more often than anyone admits.
Width, the turn, and whether there is anywhere to stop at all. If the tempo cannot reach, material is unloaded further out and carried, which is more crew and more hours — better priced at the quotation than discovered on the morning.
For an ambulance or a fire tender, not for convenience. A function that blocks a lane completely is the one that gets stopped, and rightly.
Arriving at nine in the morning and leaving at seven in the evening are both expensive decisions. We state the load-in and dismantle hours in the quotation, and they are usually earlier and later than people expect.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Three questions separate the shortlist quickly: has the team worked in Yerawada before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Yes, routinely. We confirm the load-in door, service lift, rigging points and the in-house AV scope before designing, and we work alongside the hotel's team rather than around them. It makes the build faster and it stops you paying twice for the same screen.
Yes. The things that decide it are screens readable from the back, microphones on separate channels with spares, a cue sheet somebody owns, and a start that actually happens on time. Recording is a decision made before the mics are rigged, not after.
Yes, working with the mandal. It is quoted as a ten-day package — the structure goes up once, and the daily aarti arrangements, the reset and the immersion are what repeat. Police intimation for the procession goes in early and we prepare the paperwork.
No. In a hotel the banqueting team caters and we coordinate with them on timings and counters. Elsewhere we coordinate the caterer you choose. We do not cook and we take no cut of the food bill.
Earlier than you would guess, because the airport road decides it. We state the load-in and dismantle hours in the quotation rather than leaving them to the day.
For a hotel event, four to six weeks, and the ballroom date usually forces it earlier. For a public Ganpati, start before the season. For a society or family function, three weeks.
That phrase has no official meaning, so the useful question is what to compare. Plan With YOLO has planned events since 2013 out of Pune and handles town halls and all-hands, conferences and client and partner evenings in Yerawada. The same crew covers Viman Nagar and Kalyani Nagar. Ask each name you shortlist for an itemised scope rather than one figure, and compare the same lines.
The shortlist worth having is teams who have set up in Yerawada before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Yerawada with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Yerawada are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
