Exhibition stands
Stands at trade halls, built inside the organiser's window with graphics, lighting and staffing.

Almost every venue here belongs to an organiser, a facility team or a plant. They hand you a build window, a security procedure and a list of rules, and the whole job is fitting a good event inside that. We plan it from Pune.

One thing is worth saying before anything else: we are a Pune company with no office in this region. The expressway finishes on this side, which means our vehicles and crew reach most venues without crossing the busiest city roads, and that is the practical reason we work here comfortably.
The other thing worth saying is what the work actually consists of. Very little of it happens in an open field. An exhibition hall gives you a build period published by the organiser, a height limit, a power allocation and a dismantling hour. An IT park gives you a security procedure, passes raised days ahead and a list of who may enter with what. A plant gives you a shift pattern, a safety induction and a yard that has to be spotless before the next shift walks through it. In every case somebody else owns the clock.
So the design question here is never simply what looks good. It is what can be built, tested and made to work inside the hours you have been given, by a crew that has already been cleared to walk through the gate.
Every photo here is from an event our team planned and ran.
These are the pieces we plan, build and run for an event in Navi Mumbai.
The organiser's or facility's build and dismantling hours read before a design is drawn, so nothing is planned that cannot be finished.
Stand design, build drawings, graphics, lighting and a briefed team, all made to the organiser's published rules.
Crew lists, identity proofs, vehicle numbers and safety inductions filed a week ahead so nobody waits at a gate.
Stage, screens and structure designed in sections that go up quickly, because a short window rewards a kit.
The load you have actually been given checked against what the show needs, with any shortfall solved before the build.
The space dismantled and cleared inside the allotted hour, so the hall, the campus or the yard is handed back as found.
Stands at trade halls, built inside the organiser's window with graphics, lighting and staffing.
Large internal meetings with stage, screens, question mics and support for teams watching remotely.
Daytime programmes for industrial teams and their families, with games, stalls and a children's zone.
Opening ceremonies, demonstrations and felicitations run inside the works calendar.
Ballroom conferences with registration, breakout rooms, AV and stage management.
Foundation days, award evenings and cultural nights inside office and industrial campuses.
Stage, sound and backstage flow for school programmes and prize days.
Mandap, stage, florals and guest flow for banquet and lawn weddings across the nodes.
We ask for the organiser's or facility's build and dismantling hours before anything at all is designed.
You getThe real hours, in writing
We drive down to see the stand position, campus space or plant yard and check access, power and routes.
You getA build plan that fits
The modular build is designed and priced, and the crew list, passes and inductions are submitted.
You getApproved design, cleared crew
Vehicle slots, the hall's delivery times and the run-sheet are confirmed with the organiser or facility.
You getEveryone cleared to enter
The crew builds inside the window, runs the event and clears the space within the allotted hour.
You getA clean handover
Get the build window in writing before you approve a design. In Navi Mumbai most venues are controlled spaces, and the hours you are handed decide what can realistically be standing by the time doors open.
Organisers publish stall rules, height limits, power allocations and a fixed build period that often opens only a day or two before the show. Approve the stand design at least four weeks ahead so graphics and structure are ready to leave Pune, and keep the build modular so it goes up inside the hours rather than beyond them. Read the dismantling rule too, because many halls want the stand gone on the closing night and charge for anything still standing. Keep one person from your team at the stand during the build to approve graphics placement and product display. See our work on brand activations and event branding for what a stand can include beyond its structure.
IT parks and industrial units want crew lists, identity proofs, vehicle numbers and sometimes a safety induction before anybody walks in. Share your admin or facility contact at the first call, and we file everything a week before the build so nobody is standing at a gate while the clock runs. Plant floors may also require safety footwear and helmets for the crew, and a generator usually needs the facility team's written permission before it is switched on.
A short window rewards a kit and punishes a monolith. Stage decks, screens in panels, sectional structure and pre-built graphics go up fast and come down faster. Anything that has to be assembled and then adjusted is a risk when the hall opens at a fixed hour. We also check the power allocation you have actually been given against what the show needs, and solve any shortfall before the build rather than discovering it halfway through one.
The last hour is part of the job. A hall wants its floor clear, a campus wants its lobby back, and a plant wants a spotless yard before the next shift arrives. We plan the strike with the same care as the build, because a clean handover is the thing that gets you invited back. For weddings and family occasions in the area, see our Navi Mumbai wedding planning page, and when you have dates, send them across.
The listings for Navi Mumbai are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Navi Mumbai before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Our office is in Pune, and here it matters less than anywhere else in the region, because the expressway finishes on this side. Vehicles and crew reach most venues without crossing the busiest city roads. There is still no branch or resident staff of ours here, so the travel, the rooms and the days on site are quoted as separate lines.
The organiser's stall rules: the height limit, the power allocation, the build period and the dismantling hour. Then the stand number and its neighbours, because a corner and an in-line position are different designs. Approve the drawing at least four weeks ahead so graphics and structure are ready to leave Pune in good time.
A week before the build, and earlier where a safety induction is involved. IT parks and industrial units want crew lists, identity proofs and vehicle numbers, and some want each person inducted before they walk in. Send us your admin or facility contact on the first call, because nothing wastes a short build window faster than a crew standing at a gate.
Because a kit goes up and a monolith does not. Stage decks, screens in panels, sectional structure and pre-built graphics can be carried in, assembled and tested inside a few hours. Anything that has to be built and then adjusted becomes a risk when the doors open at a fixed time. So we design for the hours first and the photograph second.
Yes, and the shift pattern shapes the programme. We plan with your works and HR teams around when people are genuinely free, file the gate paperwork and inductions in advance, and use safety footwear and helmets where the floor requires them. The yard is cleared completely at the end, because the next shift should find no trace of it.
More than people budget for. A hall wants its floor clear, a campus wants its lobby back, and a plant wants a spotless yard before the next shift. Many organisers charge for anything still standing past the hour. We plan the strike with the same care as the build, and a clean handover is usually what gets you invited back.
Reviews and ads decide who appears first, not who runs the better event. Plan With YOLO has planned events since 2013 out of Pune and handles exhibition stands, it park town halls and plant family days in Navi Mumbai. The same crew covers Pune. Ask who is on site on the day and who answers the phone if something slips.
Look for a team that has already worked in Navi Mumbai, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Navi Mumbai with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Navi Mumbai are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
