Vinayak Jadhav — Vicky to almost everyone who works with him — is an event planner in Pune and the founder of Plan With YOLO, which he started in 2013. Before and alongside it he has run lounges, kitchens and banquet venues, and that is where most of what he knows about events actually came from.

His background is not only events. For years he has worked on the venue side of hospitality — running lounges, a kitchen-led restaurant and a banquet property in and around Pune: L3 — The Liquid Leisure Lounge, Mmyra Lounge, The Goat Kitchen, and Raj Garden Family Resto & Bar. Being answerable for a room on the nights it is full teaches a different set of questions from the ones a planner asks when they are only hiring the room for an evening.
On an event, the parts he keeps are the ones that decide whether the rest works: the first conversation, what the event is actually for, the budget it has to sit inside, the venue recce, and who is standing where on the day. The crew brings everything else — décor, stage, sound, lights, artists and the paperwork. With that team he has delivered 500+ events for 100+ brands, companies and families, across 30+ cities.

Most event problems are venue problems that nobody caught early. Vinayak's years in property management are the reason those get caught on the recce rather than on the day.

Running those meant being answerable for the room on the nights it was full — the service flow, the kitchen's limits, the turn between one booking and the next.
A planner who has only hired venues asks about capacity and price. Someone who has run one asks where the goods entry is, what the sanctioned power load actually is, how long the kitchen needs between two sittings, and where a queue forms when two hundred people want a drink at the same time. Those answers decide whether a plan survives contact with the evening.
The first call is his. So is the concept, the budget and the crew list. You get an itemised scope rather than one number, because a single figure tells you nothing about what you can change.
