Date and calendar check
Your shortlist of dates read against the crushing season, the muhurat list, local jatra weeks and the rain.

Kolhapur runs on a working year of its own, and an event booked against it will fight for vehicles, labour and guests. We plan from Pune, read that calendar with you, and put the date question ahead of every other one.

An event here is a calendar problem before it is a design problem. Three timetables run across each other in this district, and the date you pick decides which of them you argue with. The first is the crushing season, when cane moves day and night, tractors and hired trucks are already committed, loading labour is scarce at short notice, and the men of a farming family are at the factory rather than at a function. The second is the muhurat list, short and crowded, which every family in the region is reading at the same moment. The third is the rain, which arrives on this side of the state with real weight and puts the low ground out of use for months.
We are a Pune company. There is no branch of ours here and nobody of ours lives in the district, and we say that on the first call. What we bring is a team willing to read those three calendars with you before anyone opens a colour palette, and then drive down with the crew and stay until the last function is cleared away.
Get the date right and this is a straightforward district to work in. Get it wrong and every other decision becomes harder and dearer than it needed to be.
Every photo here is from an event our team planned and ran.
These are the pieces we plan, set up and run for an event in and around Kolhapur.
Your shortlist of dates read against the crushing season, the muhurat list, local jatra weeks and the rain.
Halls, lawns and works grounds walked with you for kitchen, power board, parking and where water stands after rain.
The sequence your family keeps, the priest's timings and the breaks for meals, written into one run-sheet.
Welcome desks, seating, counters and a greeting line sized for the long guest lists families here actually have.
Welcome gates, backdrops, standees and stage graphics for business and institutional programmes, made to your guidelines.
Departure from Pune, the ghat stretches, crew rooms and the number of days on site, each listed separately.
Multi-function weddings in halls and on lawns, set to the muhurat and the order your family keeps.
Evening receptions with stage, florals and a greeting line that keeps a long queue moving.
Daytime sessions and an evening programme for dealers driving in from across south Maharashtra.
Stage, performances and awards for engineering and foundry teams, timed around the shift board.
Annual meetings and honour ceremonies with long walk-up lists and seating for invited guests.
Foundation days, prize ceremonies and anniversary evenings for schools, colleges and local trusts.
Haldi, mehendi and sangeet set up at home, on a lawn or at a property outside town.
We take your shortlist of dates and check each one against the season, the muhurat list and the rain.
You getA date that will hold
We visit the hall, lawn or works ground with you and note kitchen, power, parking and drainage.
You getVenue notes and a layout
The function sequence, décor, stage and vehicle plan are drawn up and priced as separate lines.
You getA signed-off plan
Night-before access, the priest's timings, guest flow and the vehicle departure are all put in writing.
You getNo assumptions left
The crew reaches the venue ahead of the build, works through the night where a dawn muhurat needs it, and clears after.
You getEvery function ready on time
Fix the date against the district's working year, then book the hall. In Kolhapur that order is not a nicety. Three calendars sit on top of one another here, and a date chosen without reading all three will cost you either the venue, the labour or half your guest list.
From the close of the monsoon through to early in the new year, cane is being cut and carried. Tractors and trailers fill every approach road, hired trucks are spoken for, and loading hands are hard to find at short notice. More to the point, in a farming family the men who would otherwise be running your function are at the factory or in the field, and they will not thank you for a programme that eats a whole working day. If your date falls inside that window we plan a shorter build, book vehicles far earlier than we otherwise would, and keep the guest programme tight rather than sprawling.
The auspicious dates are no secret, and the good halls in this region go for them first. If your wedding is set to a morning muhurat, the mandap and the stage must be finished the night before, which means the hall must be free the night before, which is exactly the thing nobody checks until it is too late. Put two questions to the owner in writing: is there a booking on the previous evening, and what time may we enter. Everything else in the plan hangs off those two answers. See how we run weddings and mandap work for the detail.
The monsoon on this side of the state is heavy and sustained, and in bad years the low ground near the rivers goes under completely. A lawn booked for those months is a bet you cannot win on the day, so we move the function to a hall on higher ground, or to a structure engineered to stay dry, and we keep a second route for the vehicles. Even outside the season, ask the owner where the water stands after a hard night of rain and watch which part of the ground he points at.
Engineering and foundry units in the belt plan around their shift board and their audit weeks, and co-operative bodies around their meeting cycle. A felicitation with many names to honour needs a stage plan and a walk-up order rather than simply a backdrop, and it needs to sit on a day the invited guests can genuinely attend. Tell us the institution's own calendar early and the rest falls into place. Our annual day and dealer meet pages cover the programme side, and once your date is settled, write to us.
Most people start here with a search rather than a recommendation, and the first results are the ones paying for the position or carrying the most reviews. Neither tells you whether a team has set up in a hall like yours.
Three questions separate the shortlist quickly: has the team worked in Kolhapur before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
It affects everything around the wedding rather than the ceremony itself. Through the cutting and carrying months, tractors and hired trucks are committed, loading hands are scarce at short notice, and the men of a farming family are at the factory. We book vehicles earlier for those dates, plan a shorter build, and keep the guest programme tight instead of stretching it across a whole day.
There is not. Plan With YOLO operates from one office in Pune, off Sinhagad Road, and keeps no branch, store or resident staff anywhere in this district. We drive down for the recce, come back with the crew ahead of the build, and stay on site until the last function is cleared. The drive and the crew days are listed as their own lines.
The night before, which means the hall has to be empty the night before. Ask the owner in writing whether another booking sits on that evening and what time you may enter. If the answer is the wedding morning, the design has to shrink to whatever can be built in a few hours. We settle that question before anything is drawn.
Risky enough that we will argue with you about it. Rain on this side of the state is heavy and sustained, and in bad years the low ground near the rivers goes under entirely. For those months we move the function to a hall on higher ground or to a structure engineered to stay dry, and we plan a second route for the vehicles.
Yes, and the walk-up order is the whole job. A programme with many names to honour needs a stage wide enough for the party standing on it, a marked route on and off, somebody holding the mementoes in sequence, and an announcer working from the same list. We build that order with your committee and rehearse it before guests are seated.
Four things, in writing. The access window, and whether a function sits on the previous evening. What the board actually carries, and what happens when it fails. Whether you may bring your own decorator and caterer or must use a fixed list. And where vehicles go when the road outside is narrow. Owners here are usually straight about all four.
Nobody awards that title, so it comes down to which team fits the event you are actually running. Plan With YOLO has planned events since 2013 out of Pune and handles wedding functions, reception evenings and dealer meets in Kolhapur. The same crew covers Pune. Ask for the breakdown — décor, stage, sound, crew, transport — and compare like for like.
Look for a team that has already worked in Kolhapur, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Kolhapur with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Kolhapur are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
