Membership
The database, the renewal calendar, arrears follow-up, the joining process and the records that make a transfer or a nomination straightforward instead of a dispute.

Membership, food and beverage, and facilities. Each has its own revenue, its own costs and its own failure mode, and most clubs run all three out of one register and one bank account, with a committee that changes before anybody finishes a project.
Membership is a subscription business: a database, renewal dates, dues, arrears and a reason to renew. Food and beverage is a restaurant with a captive crowd and member pricing. Facilities — courts, pool, gym, hall, lawn — are an asset utilisation business. Run them as one thing and the club cannot tell which is subsidising which, which is the position most clubs are in.
We separate them, give each a P&L, and build one monthly report a committee can read in ten minutes. Vinayak Jadhav ran lounges and a banquet garden before Plan With YOLO, which is the F&B and facilities half of this; the events half is what the company does every week.
For a housing-society clubhouse rather than a members' club, the right page is clubhouse management — smaller, and governed differently.
Membership first, because it is the only revenue that arrives whether anybody visits or not.
The database, the renewal calendar, arrears follow-up, the joining process and the records that make a transfer or a nomination straightforward instead of a dispute.
Food and beverage cost percentages, menu performance, member pricing against cost, and a kitchen rostered to actual covers. See restaurant management.
Courts, pool, gym, hall and lawn — booked through one system, priced for members and guests, and measured on how much they are actually used.
Festivals, tournaments, family days, children's programmes and the New Year night, dated a quarter ahead and produced properly. See festival production.
A preventive maintenance calendar for plant and courts, plus the licences a club with F&B and a bar carries. See facility management.
One monthly page the committee reads and one annual pack the general body can be taken through, so each incoming committee inherits a position rather than a shoebox.
Every photo here is from an event our team planned and ran.
Members by address rather than by application, so the real work is utilisation and the events calendar.
Courts and coaching are the draw, and the booking system is the main operational problem.
Membership and F&B dominate, and the bar often carries the building. See resto bar management.
Long waiting lists, strong traditions, aged plant, and records spread across three decades of secretaries.
Funded rather than member-paid, so the measure is participation, not revenue.
A smaller premises, an events calendar that is the whole value, and dues that need chasing.
Day memberships, weekend peaks and a utilisation problem Monday to Thursday.
Where membership categories, rates, rules and the booking system should be designed before the first hundred members, not after.
Four places, and the last one is the reason the other three repeat.
A membership base is a subscription business and should be managed like one: renewal dates in a system, reminders going out well before, arrears followed up monthly. A notice on the board in the renewal month collects the members who were going to pay anyway and loses the ones who had drifted.
Clubs subsidise member food deliberately, which is fine, and almost none of them know by how much, which is not. Food and beverage cost as a share of F&B revenue, read weekly, turns a vague annual loss into a decision about pricing.
Court hours booked against court hours available, hall bookings against dates available, gym attendance against membership. Clubs invest in a new facility while an existing one runs at a third of capacity, because utilisation was never on a page.
A committee changes and the next one starts from scratch — new priorities, old problems, and the half-finished projects of two committees ago still half-finished. One standing monthly report and a documented set of processes is what makes a club improve across committees instead of restarting with each one.
The events calendar is where a club earns its goodwill, and it is also the easiest thing to fix. Published a quarter ahead, families plan around it and attendance doubles; announced ten days before, the same event with the same budget half-empties. See cultural programmes and sports days for how those are run.
The listings for Pune are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
The operations, yes — membership records, F&B, facility bookings, upkeep, events and reporting. The governance, no, and it should not. The managing committee and the general body decide policy, rates and spending, exactly as with a co-operative society. We are the operating layer that makes the decisions happen on a date.
Scale and governance. A housing-society clubhouse is one amenity inside a society, managed by that society's committee, and the work is bookings, deposits and upkeep. A club is its own institution with a membership base, F&B revenue, multiple facilities and its own accounts. The clubhouse page covers the first case properly.
With one clean database — member, category, joining date, renewal date, dues paid, arrears, contact details and nomination. It is usually two to three weeks of work for a few hundred members and it is the foundation for everything else, because renewals, arrears and reporting are all impossible without it.
It depends on volume and on how much subsidy the members expect. A club with steady covers and a committee willing to manage cost usually does better in-house. A club with thin weekday footfall often does better with a contracted operator on clear terms. We will put both options on one page with the numbers and leave the decision with the committee. Plan With YOLO does not do catering itself, so there is no conflict in that advice.
Yes, and that is the part of this we have been doing since 2013 — stage, sound, lighting, décor, artists, anchoring and the running order, for Ganesh, Navratri, Diwali, Christmas, New Year, family days and tournaments. Many clubs engage us for the calendar first and the operations later.
Decide. Rates, rules, admissions, spending approvals and policy stay with the committee and the general body, and every payment stays in the club's own accounts. What comes off the committee's plate is the follow-up: chasing renewals, counting stock, tendering contracts and producing the report.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles township and residents’ clubs, sports and recreation clubs and social and members’ clubs in Pune. Ask for the breakdown — décor, stage, sound, crew, transport — and compare like for like.
Start with teams that already work in Pune — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
