Fix the programme before anything else. The number of acts, the number of performers in each act and the total show length decide the stage size, the backstage space and how long the audience can sit comfortably.
Start eight to ten weeks before the event. Weeks one and two are for the theme, date and venue. Weeks three to five are for the act list and stage design. Rehearsals run in the last three weeks, with a full technical rehearsal on the stage a day before. Most schools hold annual days between December and February, so booking stage, sound and LED early matters.
A good theme gives every class or department something to perform and is easy to show on a backdrop. Themes that work well include Indian festivals, a journey through decades, unity in diversity, the future and technology, stories from books, and values such as kindness or courage. For corporate annual days, themes built around the year's journey or the company's values tie awards and performances together.
School grounds and open lawns give space for large audiences but need a weather and light plan: most annual days start late afternoon and run past sunset. Auditoriums in areas like Shivajinagar and Deccan are compact and acoustically better, but seating is fixed. Banquet halls suit corporate annual days with dinner. Avoid open-air shows in the monsoon unless the venue has a covered stage and seating.
For corporate annual days: Send the award list and photographs of winners at least a week before, so names can be checked and slides built. Keep speeches short and put them early, while the room is attentive. If families are invited, plan a kids' corner and serve dinner before the late awards.
