Sound design for the room
Speaker type, count and placement from the room’s shape and surfaces, with delay where the room is long enough to need it.

Nobody compliments the sound. They only mention it when a speaker could not be heard, a mic squealed, or the stage was lit so flatly that the photographs came back grey.
They share the truss, the power and the crew, so they are planned together and quoted together. Hiring them separately is how a venue ends up with a lighting rig that leaves the lectern in shadow and a speaker stack that fires into a pillar.
Sound is decided by the room before it is decided by the equipment. A marble banquet hall with a glass wall needs a different answer from a carpeted conference room of the same size, and an open lawn needs more than both because there is nothing to reflect the sound back.
Lighting has two jobs that pull against each other: the stage has to look right to the eye, and it has to photograph. We light for both, because the pictures are what the event leaves behind.
Everything below is planned at the recce and confirmed in writing to the venue.
Speaker type, count and placement from the room’s shape and surfaces, with delay where the room is long enough to need it.
Lapels for presenters, handhelds for panels, a roving mic for the floor, and spares, because a dead battery mid-session is the failure people remember.
A lit stage that photographs: key, fill and back light rather than a wash from the front that flattens every face.
Perimeter wash, table and aisle light, and effect fixtures where the programme calls for them — used sparingly, because a dance rig at a conference reads as a wedding.
Load added across sound, light, screens and catering, distribution planned, and a backup route for the mics and the stage wash.
Sound check and lighting states run before doors, with the engineer on the desk for every session.
Every photo here is from an event our team planned and ran.
Speech clarity first, with delay speakers if the room runs long.
Stage states and cues against a running order, and a podium that photographs.
Many short acts, so the states have to change cleanly and fast.
Clear speech for numbers, plus enough stage light for the handover photographs.
A dance rig and warm ambient light, with the speeches still audible.
More speakers, weather cover, and a generator because the supply is rarely enough.
A modest rig inside the committee’s noise and timing rules.
Cue-driven lighting built around the reveal moment.
The same five faults, in rooms all over the city.
A quote built from the guest count alone ignores the surfaces. Marble, glass and a high ceiling throw sound back; a long hall needs delay speakers so the back row is not hearing an echo of the front. Both are decided by walking the room.
A panel sharing one handheld loses half of what is said. Lapels for the people on stage, handhelds for the panel, one roving mic for the floor, and charged spares for all of them.
Lighting the stage from the front alone flattens faces and kills every photograph. A key from one side, fill from the other and a back light to separate the speaker from the backdrop is the difference between usable pictures and grey ones.
Pune venues and housing societies have noise limits and timings, and some need a licence for recorded music. We confirm these in writing with the venue before the rig is designed, not on the night.
Sound, lighting, screens and the kitchen all draw from the same supply. Added up properly, a lot of venues need a generator — see production for how the whole load is sized.
Projection and playback sit on the same desk: see AV and projection.
The listings for Pune are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Pune before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

It comes from the room, not the headcount. A square carpeted conference room needs far fewer than a long marble banquet hall of the same capacity, and an open lawn needs more than both because nothing reflects the sound back. We walk the room, or work from photographs and dimensions if a visit is not possible.
Yes — lapels for seated speakers, handhelds for the panel, and a roving mic for audience questions, with charged spares for each. One shared handheld on a four-person panel is the single most common reason a recording is unusable.
That is how we light it. A key light from one side, fill from the other and a back light to lift the speaker off the backdrop. Lighting only from the front looks acceptable to the eye in the room and produces flat grey faces in every photograph.
Recorded music at a commercial event generally needs a licence, and venues increasingly ask to see it. Societies and some banquet halls also have their own noise limit and cut-off time. We confirm all of it with the venue in writing before the rig is designed.
Yes. An engineer is at the desk through sound check, rehearsal and every session, and the crew stays for strike. Equipment delivered and handed over at a gate is not what we sell.
Often, and sometimes the venue insists on it. We test it at the recce and say plainly whether it will carry your programme. Where it will not, we add to it rather than replace it, which usually costs less than a full rig.
There is no ranking that decides this, so the word means whichever team is right for your event. Plan With YOLO has planned events since 2013 out of Pune and handles conference and seminar, award night and annual day and cultural show in Pune. The same crew covers In Pune. Ask what happens to the price when a number moves; a single figure tells you nothing.
Start with teams that already work in Pune — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Tell us the room and the running order.
Venue, date, how many sessions and whether anything is being filmed. The rig is designed to that and quoted line by line.
