Most LED wall enquiries ask for a price before anyone has said how far the back row sits or what will be played on it. Those two answers change the quote more than the square footage does.
An LED wall is not a product you collect. It is panels, a processor, a rigging or ground-support structure, power, cable, an operator and the hours to build and strike it. We supply it the way we supply a whole production — with the crew who put it up and the person who sits behind the desk on the day.
Two numbers decide nearly everything. How far away the nearest viewer stands sets the pixel pitch; how far the furthest one stands sets the size. Get the first wrong and the front row sees dots. Get the second wrong and the back row sees a bright rectangle with unreadable words on it.
The third thing people skip is the content. A wall is a shape, not a 16:9 television, and a deck built for a projector will sit letterboxed in the middle of it with black down both sides.
A wide backdrop wall with the speaker’s deck keyed into part of it.
A tall wall that carries titles, nominee films and winner graphics.
Often a custom shape rather than a rectangle, which the content has to be built for.
A readable wall for numbers and slides, where legibility beats spectacle.
A wall behind the stage for films and live camera feed.
A smaller, finer-pitch wall people stand close to.
Higher brightness, weather cover and ground support, because rigging is rarely allowed.
A modest wall with a camera feed so the back of the room can see a face.
Panels alone are the cheapest part of the job and the smallest part of it.
The wall drawn to the room: viewing distances, sight lines from the back and the sides, and the exact pixel dimensions your content has to be built to.
Truss and motors where the venue permits rigging, ground support where it does not. Both are engineered for the panel weight, not assumed.
Load added to the rest of the show, distribution planned, and a backup path so a single trip does not black the screen mid-session.
Processor, scalers and the switch between laptop, camera and playback, with the cable run tested before anyone is in the room.
A build-and-strike team inside the venue’s access window, and a screen operator through rehearsal and show.
Time written into the schedule to run every slide and every video on the wall, because that is when the ratio problems surface.
Every photo here is from an event our team planned and ran.
Five things move the number, and panel area is only the first.
Pitch is the gap between LEDs in millimetres. A smaller number means more panels packed into the same area and a higher price. Outdoors or on a stage where nobody stands within ten feet, a coarse pitch is invisible and cheaper. In a mall atrium where people walk right up to it, the same choice looks broken.
Rigging from truss with motors costs more than ground support but needs less floor. Many Pune banquet halls will not allow anything hung from the ceiling at all, which decides the method for you and changes the price before any panel is counted.
A wall is built in the venue’s access window. If that window is three hours at night, the crew size goes up to fit it. This is the line people are most surprised by.
A spare processor and a second playback path cost money and are worth it on any show where a black screen would be remembered. On a small internal meeting they are not.
A wall of any size will not run off the hall’s spare socket. Where the venue supply is short, a generator and distribution are part of the job — see production for how that is sized across the whole show.
We also handle sound and lighting and projection and AV, and the three are quoted together because they share power, rigging and crew.
That search returns whoever advertises hardest in Pune, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Compare the breakdown rather than the total, check the crew is theirs and not hired in, and ask what they have already done in Pune. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
It is priced on panel area, pixel pitch, how it is supported, and the crew hours the venue’s access window forces. A coarse-pitch wall on ground support for an indoor conference is a very different number from a fine-pitch wall rigged overnight in a hotel ballroom. Send the room, the date and the furthest seat and the quote is itemised against each of those.
Work backwards from the furthest viewer. As a working rule, text on the wall should be readable from the back row without anyone leaning forward, which usually means a bigger wall than people first ask for. We draw it to your actual room rather than quoting a standard size.
Pitch is the distance between LEDs in millimetres — the smaller it is, the finer and more expensive the wall. It is chosen from the closest viewing distance, not from the budget. On a stage nobody approaches, a coarse pitch is undetectable; at a mall kiosk people stand two feet away and the same panel looks like a grid.
Only where the venue allows rigging and the structure is rated for it. Many Pune banquet halls refuse any ceiling load, so the wall stands on ground support instead. We confirm this at the recce, because it changes both the look and the price.
It comes with the crew who build, run and strike it, and with the processing and power that make it work. We plan and run events; a screen handed over at a gate with nobody behind the desk is how a show ends up black in the middle of a session.
Only if it is built to the wall’s pixel dimensions. A standard 16:9 deck on a wide wall sits letterboxed with black bars either side. We send the exact pixel size once the wall is drawn, and rehearsal time is in the schedule to run every slide on it.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles conference main stage, award night and product launch in Pune. The same crew covers In Pune. Ask who is on site on the day and who answers the phone if something slips.
The shortlist worth having is teams who have set up in Pune before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Tell us the room, not the size.
Send the venue, the date and roughly where the back row sits. We draw the wall to the room and quote it line by line.
