Hinjewadi runs on a working calendar, so events here are weekday events for teams: annual days, family days, town halls and offsites. We plan, set up and run them around campus passes, parking and the hours the roads allow.

Hinjewadi is the technology park belt on the western edge of the city, spread across phases that each hold their own campuses, roads and gates. Almost everything booked here is corporate and almost all of it happens on a working day: annual days, family days, town halls, reward and recognition evenings, sports days, festive celebrations, new-joiner welcomes and team offsites that start from the office.
Working inside a park adds a layer most Pune venues do not have. There is the park level and the building level, and both have rules. Crew names and ID proofs go in days ahead, vehicles are cleared separately from people, material is checked at the gate, and there is a fixed door and a fixed hour through which it may enter. Amphitheatres, lawns, cafeterias, atriums and auditoriums are all usable, but each one comes with its own list of what may be rigged, powered and played.
The roads are the last constraint, and the loudest one. The routes in and out of the phases fill up at office timings, so load-in, crew calls and guest arrival are all planned against that clock rather than against a map.

Three things decide whether a Hinjewadi event runs smoothly, and none of them is the theme: the permissions you get, the parking you plan, and the hour your truck is allowed to move.
Every campus event needs clearance at two levels, the park and the building, and both want the same thing: exactly who is coming, in what vehicle, carrying what, and for how long. So we ask for the date and the venue first, then submit crew names with ID proofs, vehicle numbers and a material list several days ahead. Expect rules on what may be rigged from a ceiling or a truss, where power may be drawn from, whether open flame or cooking is allowed, and what sound level is acceptable while other buildings are still working. Get the list in writing early, because a design change after approval means resubmitting everything. For anything that will not fit inside the rules, a lawn or banquet venue just outside the park is usually the better answer, and we shortlist those in parallel.

A family day turns an ordinary weekday headcount into two or three times as many people, most of them arriving by car within the same half hour. That needs planning: a marked entry lane, a registration desk that does not become one long queue, wristbands or badges for children, clear signage to the food and activity zones, and a stated meeting point for lost children. If parking on campus will not take it, a shuttle from a nearby holding area works better than letting cars circle the internal roads. We also plan the exit, because everyone leaves at once and a single gate makes a bad ending to a good day.
Weather changes that plan completely. From June to September a lawn programme needs a covered structure, matting and a covered walk from the drop-off point, plus an indoor hall held as a backup. In the drier months the opposite applies: a daytime ground event needs shade, drinking water points and a covered seating block for elders and small children.
The roads serving the phases are heavy at office timings in both directions, and the flow backs up through the junctions towards Wakad. We move material before the morning rush or in the middle of the day, keep the crew on site instead of running back and forth, and finish evening programmes early enough for people to get home. Weekends are easier for load-in and parking, which is why family days and sports days usually sit there. For offsites, a resort day towards Lonavala works if the buses leave before the morning peak. We visit the campus or venue as often as the plan and the approvals need, and the same planner stays with you from the first brief to the strike.

Choose an outside venue when you need a late finish, a bigger stage, open flame or a different setting, or when campus parking will not take the crowd. We shortlist both, show you what each allows and what each costs, and you decide from a comparison.
Book six to eight weeks ahead for an annual day, family day or offsite, and three to four weeks for a town hall or a festive floor celebration. Campus approvals take time, so the earlier the venue is fixed, the fewer surprises later. December and the year-end period fill early across the city, so start sooner for those dates.
