Good production starts weeks before anyone lifts a speaker. Most problems on the day come from decisions that were made too late or never written down. Here is the order we recommend.
The venue decides what is possible. A hotel ballroom has a fixed ceiling height, which limits how tall your LED wall and truss can be. It also has fixed load-in timings, often late at night after the previous function. A lawn or ground gives you space but needs power, levelling and a weather plan. Before you ask for a quote, share the venue name, the hall dimensions if you have them, and the time you get access. If you are still choosing between a ballroom in Hinjewadi and an open-air venue outside the city, ask for production advice first. It can change the decision.
LED walls come in different sizes and ratios. A presentation made in a standard slide format will look stretched or boxed on a wide wall unless it is designed for it. Decide the wall size early, then share the exact pixel size with whoever makes your videos and slides. Send final files a few days before the event so they can be played on the actual system at rehearsal.
A conference needs clear speech at the back of the room. A music night needs power and a proper stage monitor mix for performers. Many events need both in one evening. Tell us how many speakers, panellists and live acts you have, and whether anyone needs a wireless headset. For outdoor events, amplified sound generally has to stop by 10 pm under noise rules, so the running order has to respect that.
For most corporate shows, bring production in three to six weeks ahead. Large open-air shows and events in the wedding and festive season need more time because stages and crews get booked early. Plan for setup the day before or early on the event day, and keep at least one full technical rehearsal in the schedule.
