Access survey
Route in, door and lift dimensions, ramp angle, floor loading and the turn needed inside.

Before the reveal, the lighting or the guest list, there is a two-tonne object that has to reach the middle of a floor through a door, over a ramp, without marking anything. That answer shapes the entire event.
Access is the first engineering problem: door width, ramp angle, floor load, turning circle inside the space, and floor protection so tyres do not mark new flooring. In a mall atrium it also means a route and a time when the mall will allow a vehicle through.
The reveal — a drape, a box that lifts, a screen that opens, or lights rising on a car already in place. Drapes are the most common and the most often fumbled, because a cover coming off a mirror or a spoiler in front of everyone is a hard thing to recover from.
Light is where car launches are won. A car is a curved reflective object; it reads from the reflections along its body lines, not from being brightly lit. That means large soft sources placed to run highlights down the flanks — the opposite of pointing spotlights at it.
Then test drives, if there are any: a route, keys, paperwork, a staff member per vehicle and a queue that does not block the floor.
Every photo here is from an event our team planned and ran.
Every car launch problem we have seen was an access or a lighting problem.
Route in, door and lift dimensions, ramp angle, floor loading and the turn needed inside.
Boarding or matting on the route and under the display position, so nothing is marked.
Drape, lift box, screen or light reveal — built and rehearsed with the real vehicle, not a stand-in.
Large soft sources positioned for reflections down the flanks, with the badge and grille picked out.
Raised or rotating display where the space and floor load allow.
Route, keys, paperwork, a person per vehicle, and a media slot before the public arrives.
In the dealership, the standard format.
High footfall, and a vehicle access problem to solve with the mall.
Lighter, easier access, often more performance-led on stage.
Fleet buyers, a technical audience, and a much larger access problem.
Usually outdoors or at a dealer yard, with a rural audience.
Before the public launch, with the sales team and the product training.
Journalists, a route and vehicles — logistics rather than stage.
The same format repeated, with one supervisor travelling.
Five, and the lighting one is the most commonly got wrong.
A car body is a mirror. Point a spotlight at it and you get a hot spot and a dark car. Use large soft sources — bounced or diffused — placed so a continuous highlight runs along the shoulder line and the roof edge. That is what makes the shape read, and it is why car photography uses huge softboxes.
Covers snag on mirrors, aerials and spoilers. The reveal gets practised on the actual vehicle several times, with the same people pulling it, from the same positions. Everybody in the room is watching this one action.
New showroom flooring marks under tyres that have been on a road, and under jacks and trolleys. Boarding on the route in and matting under the display position is cheap, and the damage is not.
Route, keys, insurance paperwork, fuel, a person per vehicle, and a queue that sits somewhere other than across the showroom entrance. Test drives left vague turn into a crowd at a desk.
Journalists and creators need the car without a crowd around it — thirty minutes before guests arrive is worth more to them than two hours during. The photographs they take in that window are the coverage.

The listings for Pune are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Pune before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

How the vehicle gets to its display position: door and lift dimensions, ramp angle, floor loading and the turning circle inside the space, plus floor protection on the route. In a mall it also means an agreed route and time. Everything else is designed after that is solved.
With large soft sources placed so a continuous highlight runs along the shoulder line and roof edge. A car body is a mirror, so spotlights give you a hot spot and a dark car. Lighting the reflections rather than the surface is the single biggest difference between launches.
A drape, a box that lifts, a screen that opens, or lights rising on a car already in place. Drapes are commonest and catch on mirrors, aerials and spoilers, so the reveal is rehearsed on the actual vehicle with the same people pulling it.
Usually, with the mall’s agreement on the access route, the time, floor loading and protection. It is a permission and logistics exercise more than a creative one, and it has to be settled with the mall before the event is designed.
As a separate operation: a fixed route, keys and paperwork managed at one desk, fuel checked, one staff member per vehicle, and the waiting queue positioned away from the showroom entrance. Left vague, test drives become a crowd blocking the floor.
It follows the venue, the reveal mechanic, the lighting rig, whether there is a turntable or built plinth, and whether media handling and test drives are included. Send the vehicle, the venue and the guest count for an itemised scope.
Reviews and ads decide who appears first, not who runs the better event. Plan With YOLO has planned events since 2013 out of Pune and handles showroom car launch, mall atrium display and two-wheeler launch in Pune. The same crew covers In Pune. Ask for the breakdown — décor, stage, sound, crew, transport — and compare like for like.
Look for a team that has already worked in Pune, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
