The reveal
The mechanic, built and rehearsed — drop, curtain, lift, screen or light. It gets tested, not trusted.

A launch has one moment in it. Everything before builds to the reveal and everything after trades on it, so the whole evening is designed backwards from those ninety seconds and the photograph they produce.
Most launch briefs arrive as a venue, a guest list and a speech order. The reveal — the actual mechanic by which the thing becomes visible — is usually decided last, which is why so many launches have a good room and a flat moment.
We start at the other end. What is the mechanic: a drop, a curtain, a lift, a screen opening, lights coming up on something already present? Where does the audience stand so that everyone sees it at the same instant? Where is the camera, and does the shot it gets work as the press image? Then the stage, the AV, the seating and the running order are built to serve that.
For a launch outside Pune, or the format and content side of a launch programme, see product launch event management. This page is about running one here.
Listed in the order they are decided, not the order they happen.
The mechanic, built and rehearsed — drop, curtain, lift, screen or light. It gets tested, not trusted.
Screen sized for the room, sound that carries, and a cue stack the operator has run through.
Invitations, a briefing kit, a defined shooting window and somebody looking after them all evening.
Product in hand, with your own people standing beside it answering questions.
Timed, with the reveal protected — speeches get a hard stop so the moment is not pushed late.
Photographs and video cut and delivered within forty-eight hours, while it is still news.
Every photo here is from an event our team planned and ran.
Press, influencers and a demo floor — built for coverage.
Fewer guests, technical audience, a working demonstration rather than a reveal.
Live demo on screen, which is a different AV job entirely.
Several products, so the sequence matters more than any single reveal.
Inside a dealer meet, where the audience sells it rather than buys it.
Numbers-led, short, with a printed take-home.
Changing a thing people already know, which needs the before and after on stage.
Small, invitation-only, usually ahead of a public event.
Five things, and the first is the one nobody budgets for.
A curtain that snags, a cloth that catches a corner, a lift that stalls — all of these happen, and all of them happen in front of everyone. The mechanic gets built and run several times before the evening. This is an hour of crew time and it is the single highest-value hour in the whole project.
Four speakers each taking five minutes longer than agreed pushes the reveal half an hour late, by which point the room has thinned and the press have gone. The reveal gets a fixed clock time, announced in the invitation, and the speeches get a hard stop.
A product seen on stage and never handled does not get talked about. Budget a proper demo zone with your own people in it — that is where the questions get answered and where most of the coverage is actually written.
There is one photograph that will appear everywhere. Decide what it is, light that spot, put the branding behind it and hold the moment long enough for it to be taken properly. Launches that leave this to chance get a press image with a backlit silhouette and a half-visible logo.
Photographs and a short cut within forty-eight hours, while it is still new. A launch film delivered in three weeks is an archive, not marketing.

Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
A team that has worked Pune knows the access, the power and the society timings. Ask for that, ask for the breakdown, and ask who runs the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
The reveal mechanic and its rehearsal, stage, screen and AV, press and influencer handling, a demo zone where the product can be handled, a timed run sheet that protects the reveal from overrunning speeches, and photographs and video handed over within forty-eight hours.
Six to eight weeks is comfortable. The parts that cannot be compressed are the reveal mechanic if anything has to be fabricated, press invitations, and printed collateral. A launch arranged in two weeks is possible and will be a simpler reveal.
Deciding the reveal last. Most briefs arrive as a venue, a guest list and a speech order, with the actual moment left to the week of the event. Designing backwards from the reveal is what separates a good room from a good launch.
Yes — invitations, a briefing kit with the facts and images they need, a defined shooting window so they are not working around the audience, and someone with them through the evening. Coverage is usually the point, so this is not an afterthought.
Venue rules, mostly: outside-vendor fees, no ceiling rigging in many hotel banquets, sound cut-offs, and slot times that include your own build. Knowing which venue allows what decides what reveal is even possible, which is why local experience matters here.
It follows the venue, the size of the built stage and screen, the reveal mechanic, the guest count and whether press handling and content production are included. Send the guest count, the venue if booked, and what the reveal needs to be.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles consumer product launch, b2b and industrial launch and technology and app launch in Pune. The same crew covers In Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
Start with teams that already work in Pune — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Launch coming up? Tell us the reveal.
The product, the date, the guest count and how you imagine the moment. If the reveal is undecided, that is the first conversation.
