Bibwewadi is dense, settled and full of societies that have been holding the same functions for thirty years. The work here is frequent, modest and judged by people who have seen it done well before.
Bibwewadi is one of the denser residential pockets in south Pune, built out in societies from the seventies onwards with newer buildings squeezed in between. It is not a destination for anything — it is a place a very large number of people live, and that means a function calendar that never really stops.
The jobs are mostly modest and mostly indoors: a satyanarayan puja, a naming ceremony, a sixtieth birthday, a society annual day, a Ganpati, a wedding in one of the halls nearby. None of it is complicated. What it is, is frequent — and in a neighbourhood this connected, a function that went badly is discussed in three buildings by the weekend.
The practical constraints are the ones that come with older stock: lifts built for four people, staircases with a turn in them, lanes where a tempo cannot stand for three hours, and flooring that a deposit is held against. All of it is manageable, and all of it has to be measured rather than assumed.
Altar, seating and prasad counter, with the layout settled with the family or the priest.
Morning functions in a flat or a society hall, set up and struck before lunch.
A stage, sound and a children's programme for the whole building.
Ten days of decoration, a daily aarti and an immersion to plan for.
Nine nights in the society compound, with flooring, lighting and sound.
Functions in the halls nearby, built and struck inside the booked session.
Shashtipoorti functions, which are ceremonies rather than parties and seat a lot of elders.
Clubhouse and flat setups, built low and safe.
The clubhouse, the flat, or the hall down the road.
Lift depth, door width, the turn in the staircase and which floor. Half an hour that decides the whole build.
Panels that pass a narrow doorway and join on site, so nothing has to be carried up whole.
Puja, naming and housewarming setups inside a flat, with the ritual layout agreed with the family first.
Low firm platforms and stools, so the people performing the ritual are not stranded on the floor.
Enough to carry across the hall, not into the flats above, and off at the hour the committee set.
Sheeting past where anything reaches, pads under frame feet, nothing dragged — which is how the deposit comes back.
Nothing here is hard. Everything here is a measurement somebody did not take.
A seven-foot panel does not enter a five-foot lift, whatever the drawing says. Either the backdrop is built in sections that pass, or it goes up the stairs and is joined on the landing — which takes longer, costs more crew, and belongs in the plan rather than in the morning.
On most lanes here a vehicle cannot stand for three hours. Material is unloaded, the vehicle leaves, and it returns for the clear-up. Telling the watchman in advance turns this from an argument into a non-event.
Older mosaic and kota floors hold turmeric, oil and rangoli colour in the grout lines. Sheeting goes well past where people will actually sit, and light furniture leaves the room rather than being draped.
These functions have more older guests than any other kind. Low firm seating they can get up from, a step-free route from the door, and a fan where they will sit. It costs almost nothing and it is what the family remembers.
Hours, deposit, whether nails are allowed, where the vehicle may stand. Every society has a list. Reading it before the design is five minutes; redesigning on the morning is two hours you do not have.
That search returns whoever advertises hardest in Bibwewadi, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Bibwewadi already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Yes, and it is routine here. The frame comes in sections that pass the door, the floor and skirting are sheeted past where anything will reach, and pale furniture is moved rather than draped. Set up and struck the same day.
It is a measurement, not a problem. Send a photo of the lift with a tape in it and we will tell you whether the backdrop goes up whole, in sections or up the stairs — and what each option costs, before you approve anything.
Yes, always. The havan position, the facing and where the elders sit are the family's and the priest's call. We ask before designing and build the décor around the ceremony.
No. We coordinate the caterer you choose — menus, timings, counters and service on the day — but we do not cook and we take no cut of the food bill.
Whatever your society says, and most here say ten. Loudspeakers are in any case not permitted anywhere in Pune between ten at night and six in the morning except on the days the state exempts.
Far less than people expect, because the room is already there and the work is the backdrop, the seating and the lighting. Send the date, the floor and a rough headcount and you get a range the same day.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles satyanarayan puja, naming ceremonies and society annual days in Bibwewadi. The same crew covers Katraj and Sahakar Nagar. Ask who is on site on the day and who answers the phone if something slips.
The shortlist worth having is teams who have set up in Bibwewadi before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Bibwewadi with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Bibwewadi are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
