Vadgaon Budruk still has its old core — narrow lanes, a temple, family houses — with societies and towers built around it. Which of the two you are in changes the whole job.
Vadgaon Budruk is one of the old villages the city grew over, and the original core is still there: tight lanes, a temple, houses that have been in the same families for generations. Around it sit societies and newer towers full of people who moved in over the last twenty years.
The two halves hold different functions. In the gaothan it is community weddings where the guest list is the lane, a public Ganpati with a procession, temple functions and festival programmes — big crowds in small spaces, where the planning is flow and access rather than décor. In the societies it is annual days, birthdays, naming ceremonies and hall receptions, with a committee and a service lift.
The practical point is that a vehicle often cannot reach the old lanes. Material is unloaded where it can stop and carried in, and frames are built in sections a person can carry through a narrow door. That carrying is real crew hours and belongs in the quotation rather than in a surprise on the morning.
The old lanes, the societies, and the halls in between.
Lane width, the turn and the carry distance, measured on the site visit rather than discovered on the day.
Entry, seating, the food queue, the overflow and the way out, drawn before anything is decorated.
Mandap, decoration, lighting, daily aarti arrangements and the immersion procession planned with the organisers.
Sized to the real crowd, with standing room in front rather than spilling into the road.
Clubhouse annual days, birthdays and ceremonies, built to the committee's rules and struck the same night.
Frames out, cabling lifted, waste carried away with us rather than left in a corner of the lane.
Large guest lists in tight lanes, where flow decides the evening.
Ten days of mandap, decoration and aarti, with a procession at the end.
Festival programmes and annual observances, with sound, lighting and seating.
Open-space nights with flooring, lighting and sound.
Evening functions in the halls nearby, built and struck inside the session.
A stage, sound and a children's programme for the whole building.
Daytime functions set up and struck in one morning.
Children's and milestone birthdays, at home or in a clubhouse.
The gaothan draws more people into less space than almost anywhere else on this side of the city, and that is a planning job rather than a decorating one.
Width, the turn at the end, and whether there is anywhere at all to stop. If the tempo cannot reach, material is unloaded further out and carried — more crew, more hours, and better priced at the quotation than discovered on the morning.
Community weddings here routinely draw more people than the card went to, and that is normal rather than a planning failure. Seating for the invited, standing room for the rest, and a food queue that does not block the entrance.
For an ambulance or a fire tender. A function that completely blocks a lane is the one that gets stopped, and it should be. We draw the clear route first and hold it with marshals when it is busy.
Route, start time, where the trolley turns, where the sound travels with it, and who is at the front. Settled with the mandal weeks before, with the police intimation going in at the same time.
A night function in old lanes empties into dark streets. A few lights along the main route out costs very little and is what the older guests remember.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Vadgaon already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Yes. Material is unloaded where the vehicle can stop and carried in, and frames are built in sections small enough to go through a narrow door. That carrying is real crew hours, so tell us the lane and we will price it honestly.
Yes, and you should say so at the quotation. Seating for the invited and standing room for the rest, with a food queue that does not block the entrance. That is what makes a large community function feel organised.
Yes, working with the mandal. It is quoted as a ten-day package, and the police intimation for the procession goes in early — we prepare the paperwork and the organisers sign it.
No. We coordinate the caterer you choose — menus, timings, counters and service on the day — but we do not cook and we take no cut of the food bill.
Ten at night, and in a dense lane it is enforced. Loudspeakers are not permitted anywhere in Pune between ten at night and six in the morning except on the days the state exempts.
For a wedding, three to four weeks once the hall or the ground is settled. For a public Ganpati, start before the season — the good dates and the better mandap designs go months ahead.
There is no ranking that decides this, so the word means whichever team is right for your event. Plan With YOLO has planned events since 2013 out of Pune and handles community weddings, public ganpati and temple functions in Vadgaon. The same crew covers Sinhagad Road and Dhayari. Ask who is on site on the day and who answers the phone if something slips.
Start with teams that already work in Vadgaon — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Vadgaon with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Vadgaon are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
