Multi-brand auto expo

Everything about a vehicle show is decided before the design: whether a car can physically reach the floor, what the floor can carry, and what the fire officer says about a full tank indoors.
At an ordinary expo the heaviest thing is a counter. At an auto show it is two tonnes that has to come through a door, round a corner, up a ramp and stop on a floor rated to hold it. If that route does not exist, no amount of design fixes it.
Then come the rules. Most venues require tanks near empty and batteries disconnected for display vehicles. Electric vehicles bring their own conditions about charging and where the pack may sit. These are fire-safety conditions, not preferences, and they are settled with the venue before the stand is drawn.
And a vehicle show is a lead-generation exercise for dealers. The display earns attention; the desk, the test ride and the follow-up earn the sale.
Several dealers in one hall, with a shared test ride track.
One manufacturer, deeper staging, often a launch.
Lighter vehicles, but charging and battery rules dominate.
Outdoor by necessity — size and weight rule out most halls.
High volume, fast turnover, paperwork-heavy desks.
A few cars in an atrium, with the mall’s own rules on fuel and floor.

No hall at all: a route, marshals and paperwork.
In this order, because the vehicle decides the rest.
Entry doors, lift capacity where the hall is upstairs, turning circles and ramps, with every display position reachable by the actual vehicle.
Load confirmed for each position in writing, plus protection for the floor where the venue requires it.
Tank levels, battery disconnection, EV charging conditions and extinguisher cover, settled with the venue and the fire officer in advance.
Turntables, ramps and lighting angled to show the body line. A flat overhead wash makes an expensive car look like a showroom photograph taken on a phone.
Route, timing, paperwork, licence checks, helmets where needed and a marshal controlling the gate.
Seating for a real conversation, capture per brand and per variant, and a report each dealer can act on.
Every photo here is from an event our team planned and ran.
Six, and three of them are about the building rather than the show.
Door width, turning circle, ramp gradient and lift capacity if the hall is not at ground level. Measure it against the actual models, not a generic car.
Get the load rating in writing for each display position, along with any requirement to protect the surface. This is not a question to settle on the build night.
Most venues want tanks near empty and batteries disconnected. EVs bring separate conditions about charging and where the pack can sit. These come from the fire officer and are not negotiable.
A route the venue and the local police accept, with marshals, licence checks and a queue system. Without it, test rides either do not happen or happen unsafely.
Angled light that follows the body line, not a flat overhead wash. A car under bad light looks cheaper than it is, and that is the whole point of the display.
Capture per brand and per variant at the desk. A pooled footfall number is useless to a dealer deciding whether to take a stand next year.

The listings for Pune are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Pune before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Only if the vehicle can physically reach the position and the floor is rated for it. Door width, turning circle, ramp gradient and lift capacity all have to be measured against the actual models, and the load rating confirmed in writing. Plenty of attractive halls fail the first test.
Most venues require tanks near empty and batteries disconnected for vehicles on display, with extinguisher cover nearby. Electric vehicles have their own conditions about charging and battery placement. These come from the venue and the fire officer, and are settled before anything is designed.
Usually yes, on a route the venue and the local police accept, with marshals, licence checks, helmets for two-wheelers and a queue system at the gate. The route and the paperwork are arranged as part of the job rather than left to the dealer on the day.
From angles that follow the body line, with turntables or ramps where the display calls for them. A flat overhead wash flattens the car and is the most common reason a display looks cheaper than the product.
Captured at each desk against the brand and the variant the visitor asked about, then reported per dealer. Pooled footfall numbers tell a dealer nothing about whether to take a stand again.
Yes, and for commercial vehicles it is usually the only option — size and weight rule out most halls. Outdoors adds ground preparation, weather cover, power and a generator, but removes the access and floor loading problems entirely.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles multi-brand auto expo, single-brand showcase and two-wheeler and ev expo in Pune. Ask what happens to the price when a number moves; a single figure tells you nothing.
The shortlist worth having is teams who have set up in Pune before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
