Annual dealer conference
The full day: year review, targets, awards, product and dinner.
Shop 7, Ekta Nagri, Near Dwarka Apartment, Anand Nagar, Pune 411051

A dealer meet is not a conference. Everyone there sells for you, most of them travelled, and all of them are measuring whether the day was worth closing the shop for. We plan it from that fact.
Tell them what is coming, make them feel they matter, and send them home with something to act on. Every dealer meet that worked did those three. Every one that did not was a product presentation with lunch attached.
The audience is different from a corporate conference and planning it the same way is the usual mistake. Dealers are not employees. They do not have to be in the room, they are giving up a trading day, and several of them also sell your competitor. Attention has to be earned rather than assumed.
So the agenda is short, the awards are real, and the product is something they can touch rather than something on a slide.
The full day: year review, targets, awards, product and dinner.
A half-day for one zone's dealers, usually tighter and more commercial.
Built around the product reveal, with the display zone doing most of the work.
Where the numbers are the news. Short, clear, and heavy on the printed take-home.
Evening format, less business and more stage, for a year that went well.
Spouses and children included, which changes the catering, the timing and the entertainment completely.
Two days at a resort near Pune — Lonavala, Mahabaleshwar or the Mulshi side.
Workshop format with breakout zones rather than a single stage.
A dealer meet is judged a week later, by whether anybody ordered.
Built backwards from when dealers must leave to get home, which is the constraint nobody writes down.
A stage that carries your product and your numbers, with audio that reaches the back of a banquet hall.
Trophies, certificates, the photograph on stage. Enough categories that the room is not five winners and ninety spectators.
A zone where the range is physically present and somebody from your team is standing with it.
Pick-ups, rooms, dietary needs and the quiet logistics that decide whether an outstation dealer felt looked after.
Backdrop, standees, badges, and something that ends up on their counter rather than in the car.
Every photo here is from an event our team planned and ran.
We have run these for manufacturers, building material brands, automotive and FMCG. The failures look remarkably alike.
Six speakers, each given twenty minutes, each taking thirty. By the fourth, half the room is on the phone outside. A dealer meet earns about ninety minutes of genuine attention. Spend it on the two things that matter and put the rest in the folder they take home.
Five trophies in a room of a hundred leaves ninety-five people watching someone else's photograph. Widen the categories — region, growth percentage, new product adoption, longest association. The cost of a trophy is nothing against a dealer who felt seen.
A slide of the new range convinces nobody who sells for a living. A table with the range on it, and one person from your team standing beside it answering questions, is where the actual selling happens. Budget for the zone, not just the stage.
A Pune dealer meet often has dealers from across Maharashtra, and an anchor who works only in English loses half the room's warmth. Decide the language per segment — awards in Marathi, product in Hindi, numbers in English is a combination that works more often than any single choice.
Because the last session ran late and they have a four-hour drive. Build the agenda backwards from departure time, finish early, and let the ones who can stay have tea. A dealer who missed the closing because of your overrun remembers only that.
Photographs within forty-eight hours, the award winners named in a message to the full channel, and the scheme document in writing. The event creates the goodwill; the week afterwards converts it. We hand over the photographs and the as-delivered run sheet in a form you can forward.
See corporate event planning in Pune for the wider service, venues for the room, and stage and production for the technical side.
If the meet is not in Pune — a national channel conference, or a zone meet in another city — see dealer meet management, which covers running these outside Pune. This page is the Pune and PCMC version.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Compare the breakdown rather than the total, check the crew is theirs and not hired in, and ask what they have already done in Pune. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Plan the business content for about ninety minutes of real attention and build the rest around it. The hard constraint is departure time — outstation dealers have a drive home, and an agenda that overruns means they leave during your closing session. Work backwards from when they must go.
Enough that most of the room has a reason to stay. Five trophies among a hundred dealers leaves ninety-five people watching. Widen the categories by region, growth, new product adoption and length of association — trophies are cheap against the goodwill.
Yes, as its own line in the scope: pick-ups, rooms, transfers, dietary requirements and the arrival desk. For a residential meet near Pune — Lonavala, Mahabaleshwar or Mulshi — that part is usually larger than the event itself.
Yes, and for a Maharashtra channel it often should be, at least in part. A combination works better than one language: awards in Marathi, product in Hindi, numbers in English. Tell us the make-up of the room and we will bring an anchor who can move between them.
It follows the number of dealers, whether it is residential, how much is built on stage, and whether travel and stay are included. A half-day regional meet for sixty and a two-day residential conference for three hundred are different jobs. Send the numbers and you will get it itemised line by line.
Six to eight weeks is comfortable, and longer if it is residential or needs printed collateral per dealer. The parts that cannot be compressed are hotel blocks and printing — both have their own lead times whatever the budget.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles annual dealer conference, regional channel partner meet and new product rollout in Pune. The same crew covers In Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
The shortlist worth having is teams who have set up in Pune before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
