Timing and disclosure
The session start, the webcast and the material going out are sequenced with your IR team and company secretary rather than scheduled for convenience.

An investor meet is the one corporate event where what is said, when it is said, and who could hear it all carry consequences outside the room.
An AGM is a statutory meeting with a fixed agenda and shareholders who may ask anything. A press conference is built to be quoted. An investor or analyst meet sits between them: a smaller, better-informed audience, material information, and timing that has to line up with what has already been disclosed.
That changes the room. Soundproofing matters because a conversation in a corridor is a leak. The webcast has to start when the company says it starts, not when the AV is ready. The transcript has to be accurate because it will be read closely.
We run the logistics and keep them quiet. Your company secretary and IR team own what is said; we own the fact that it is heard only by the people meant to hear it.
Every line below exists because the audience is not an ordinary audience.
The session start, the webcast and the material going out are sequenced with your IR team and company secretary rather than scheduled for convenience.
Private, sound-isolated, with controlled entry and no spillover into a public lobby. Signage is minimal or absent where discretion is wanted.
A confirmed list, badges where needed, and someone on the door who knows who should be in the room.
Tested with a fallback path, started on cue, and monitored by someone watching the stream rather than assuming it works.
Clean audio from the microphones, a recording that can be published, and a transcript accurate enough to be read line by line.
Breakout rooms and a schedule so senior management meet the right investors without the day collapsing into a corridor queue.
Every photo here is from an event our team planned and ran.
Short, tightly timed, webcast, with the numbers already filed.
Longer, strategy-led, with several speakers and deeper Q&A.
Pune leg of a multi-city run, usually back-to-back one-to-ones.
Confidentiality first, with a tightly controlled invite list.
Adds the access and safety planning of an industrial site.
Small, private, with the recording handled carefully.
The large format — multiple sessions, demos and a full webcast.
Smaller scale, same discretion, usually with a demo.
Five, and the first two belong to your IR team rather than to us.
The session has to sit correctly against your disclosure obligations. Give us the filing time and the webcast start and everything else is built backwards from them.
A confirmed list, checked at the door. This is the one corporate event where walk-ins are a real problem rather than a hospitality question.
Shared walls, open mezzanines and lobbies carry sound further than people expect. We check this at the recce, because a sensitive discussion overheard in a corridor is the failure that matters.
A tested fallback and somebody watching the stream throughout. A webcast nobody is monitoring is a webcast that fails silently.
Recording, transcript and deck, agreed in advance so the capture is good enough to publish. Deciding afterwards that the session should have been recorded properly is not recoverable.

That search returns whoever advertises hardest in Pune, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
An AGM is a statutory meeting with a fixed agenda and shareholders entitled to attend and question. An investor or analyst meet is smaller, voluntary, and built around material information and a better-informed audience. The privacy of the room, the disclosure timing and the quality of the transcript matter far more.
Yes, with a tested fallback path and someone monitoring the stream throughout rather than assuming it is running. The start is held to the time your IR team specifies, because that timing is usually tied to a filing.
Yes. Audio is taken from the microphones rather than the room so the recording is clean enough to transcribe accurately, and the transcript is produced to a standard that can be published and read line by line.
Yes. Minimal or no external signage, controlled entry, a room chosen for sound isolation, and a confirmed attendee list checked at the door. Where the company wants no visible branding at the venue at all, we work that way.
Yes — breakout rooms and a schedule built so senior management meet the right people in sequence, with someone running the clock. Without that structure the one-to-ones become a corridor queue and the day overruns.
Separately, and only if you want them there. Press and investors have different briefings and different timings, and mixing them in one room is how an unintended quote happens. We run the two as distinct sessions.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles quarterly results meet, analyst day and investor roadshow stop in Pune. Ask what happens to the price when a number moves; a single figure tells you nothing.
Start with teams that already work in Pune — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Send the date and the disclosure timing.
Format, audience size, whether it is webcast and when the material goes out. We build the day around those.
