Fix the one message first

Dealers sit through many meets. Decide the one thing you want them to remember, such as a new range, a new scheme or a growth target, and build the stage content around it. Keep leadership talks short and move product detail to demo tables where dealers can ask questions in small groups.

Make travel easy for outstation dealers

Dealers judge the meet by the journey as much as the event. Collect travel details with the RSVP, send pick-up information a few days ahead, and keep a help desk at the hotel. For dealers coming from Kolhapur, Nashik or Satara, a Pune venue with easy highway access saves hours. For a larger network, consider regional meets instead of one big one. Seat dealers from the same region together at dinner; they will talk more and stay longer.

Lock the award list early

Awards cause more last-minute stress than anything else. Agree categories and the final list at least a week before the meet, so trophies and citations can be made and spelt correctly. Group awards by category and keep each walk-up short, with music and a photo point ready. A long list read out slowly is where evenings lose energy.

Keep the gala short and warm

Dinner should not wait for the last award. Serve starters during the awards, keep entertainment to one strong act, and let dealers network. If families are invited, plan a separate area for children. End with a clear close: a thank-you from the leadership, a group photo and a small take-home that reminds dealers of the message. Share photos and the presentation with every dealer within a few days, while the meet is still fresh.

How early should we plan a dealer meet?

Plan a dealer meet eight to ten weeks ahead, and more if it involves long-distance travel or falls between November and February. That allows time for a recce, invitations, travel bookings, stage design and trophies. Award lists can be finalised later, but categories should be agreed at least three weeks before the meet.

Can you run the dealer meet outside Pune?

Yes, we run dealer meets outside Pune as well, closer to where your dealers are. We recce the venue, line up local suppliers against our plan, and travel with the core team for set-up and the event. Since 2013 we have travelled to 30+ cities, so planning a meet in another city is routine for us.
