Plan this one in the opposite order from a normal event. Instead of choosing a date, a venue and then a guest list, you start with who is travelling, when they land, and when they have to leave. Everything else is arranged to fit inside that window.
Ask for flight details before you lock the agenda, not after. A leader who lands the previous evening can rehearse properly, review content and open the event calm. A leader who lands two hours before doors can do a microphone check and nothing more. Booking a banquet room solves food, power, air conditioning and a lobby in one signature, but four things still need settling in writing. First, access hours: when the crew may enter to build, and whether the room is in use for something else that morning. Second, whether the house sound and screens are adequate for your programme or whether we bring our own and route the house system as backup. Third, food timings against your agenda, because a buffet opening mid-session empties a hall. Fourth, room blocks and check-out times for visiting guests, so nobody drags a suitcase into the keynote. We put all four into the venue confirmation instead of discovering them on the day.
Sort out arrivals before you send the invitation. This is a dense stretch of offices, hotels, restaurants and a mall, and visitor parking is genuinely limited on a weekday evening. Ask the venue how many slots are actually held for your event, whether valet is running and until what time, and where the overflow goes. Then write the gate, the tower or wing, and the parking instruction into the invite in plain words. For a large guest list, a marked drop-off point with ushers and a shuttle from a holding area beats letting cars circle. Corporate guests judge an event in the first five minutes, and those minutes happen outside the door.
Design the close of the event as carefully as the opening when guests fly out that night. That means a firm finish, a departure board or a printed list of cab timings, luggage held somewhere sensible rather than in the ballroom, and a buffer for the roads. Give a conference or dealer meet about two months of runway, since banquet rooms in this belt fill early around the year-end. The connection is tested a day earlier with the same equipment, and a recorded version is kept ready in case the line drops. It works well for short keynotes and message videos.

We hold the arrival list, coordinate airport pickups against flight times, allocate rooms, plan check-out so nobody is carrying bags into a session, and run a help desk in the lobby with a named person to call.
