Magarpatta is a walled township with offices, homes, halls and lawns inside one boundary. We plan, set up and run corporate events there, with every vehicle, crew member and crate listed at the gate before it arrives.
Corporate event management in Magarpatta starts at the gate, not at the venue. The township is a single walled estate with office buildings, apartments, schools, shops, halls and open lawns sharing the same internal roads, which means your event is a guest in a neighbourhood as much as it is a booking in a building. Nothing enters unlisted, and nothing parks where it likes.
For an HR or admin lead the upside is real. Everything an event needs sits within walking distance: a hall for a town hall or a training day, a lawn for a family day, an atrium for a festive activity, restaurants for a small team dinner, and employees who can bring their families without driving anywhere. Attendance here is the easiest in the city, which is exactly why leadership teams keep asking for it.
The trade-off is paperwork and courtesy. We handle the first and design around the second, so your event is not the one residents complain about the next morning.
These are the parts we plan, set up and run for corporate events inside the township.
Every truck, tempo, car and crew member listed with the estate office and security, with entry gates and time slots agreed first.
Community halls, lawns, atriums and office floors shortlisted and booked to your date, headcount and finish time.
Where each vehicle stops, how material reaches the venue, and which routes stay clear for residents and school hours.
Sectional stage, LED or projection, lighting and sound sized for an indoor hall or an open lawn, then rehearsed.
Games, stalls, a kids' area, seating for elders, wristbands and a stated meeting point if a child wanders off.
Programme hours planned to the permitted sound window, and the ground or hall cleared the same night.
Every photo here is from an event our team planned and ran.
Tell us the date, the guest count, the budget and the feeling you want in the room. We ask the questions most people forget.

Our crew runs the floor, the stage and the guests. When it is over, we clear the venue and send you the photos.
You getA calm host — you — and the memories
A township event is easier than a city event in every way except one. Attendance looks after itself, the venue is a walk away and nobody is stuck on a highway. What you give up is the freedom to simply turn up with a truck.
Ask the estate office what is permitted before you agree a date with your leadership team. A single management body governs the whole boundary, so the hall booking, the sound hours, the vehicle entry, the food arrangement and the clean-up standard all come from one place and all apply together. Get the conditions in writing at the start: what may be pegged into a lawn, whether any structure may be anchored, where a generator may stand, whether open flame or live cooking is allowed, and what time music must stop. A design approved against those conditions passes the gate. A design that assumes them gets reopened on setup morning, which is the one morning nobody has spare time.
Plan the movement, not just the material. Internal roads here are narrow, shared with residents, and busy at school and office hours, so the practical question is where each vehicle halts and who carries what from there. This is the plan we submit before setup.
| What is arriving | Where it stops | Arranged before it moves |
|---|---|---|
| Stage and truss truck | Nearest service road to the hall or lawn | Gate pass, unloading slot outside school and office peaks |
| Sound, lights and LED tempo | Same drop point, second slot | Vehicle list with driver names, a marked unloading bay |
| Generator or power tap | Agreed standing point away from windows | Estate approval, cable route and matting across walkways |
| Catering and food counters | Service entry of the venue | Staff list, counter layout, waste and clean-up plan |
| Crew and helpers | Walk in through the pedestrian gate | Names with ID proof numbers filed in advance |
| Guests and family members | Marked visitor parking, then walk | Visitor entry list, signage, ushers at the turnings |
Two habits save the day here. Consolidate: one well-packed tempo beats three half-empty ones when every entry needs a pass. And keep a walking runner on site, because a forgotten cable is a five-minute walk rather than a fresh vehicle entry.
Remember that people live around your lawn and children sleep near it. A drum check at seven in the morning, a generator under a bedroom window or a speaker stack aimed at the nearest tower will end your event's welcome quickly, whatever the booking says. We point sound inward, keep the noisy part of the build to civil hours, wrap cables and matting so walkways stay usable, and finish music within the permitted window rather than testing it. For an evening programme we plan the loud block early and the quieter dinner after, which suits a corporate audience anyway.
If you run one employee event a year inside the township, make it the family day. Nobody drives, grandparents come, children have space, and the programme can run through the day rather than being squeezed into an evening. Plan it as zones rather than one crowd: registration and wristbands at the entry, a kids' area with soft flooring and a named meeting point, game stalls with staff who keep queues short, shaded seating for elders, food counters split so no single line builds, and a short stage block in the middle that pulls everyone together. Read more on family day events and annual days before you pick a format.
Between June and September a lawn programme needs a covered structure, flooring and a covered walk from the drop point, with an indoor hall held as backup; in the dry months the same event needs shade and water points instead. Give yourself about two months for anything with a stage and a month for a hall session, since halls inside the estate are shared with residents and fill early around festivals. Our office is on the Sinhagad Road side of the city, so we schedule recce visits between peaks and keep the crew on site once they are in. Send your brief through the contact page, or see how we run corporate events in Pune.
Most people start here with a search rather than a recommendation, and the first results are the ones paying for the position or carrying the most reviews. Neither tells you whether a team has set up in a hall like yours.
Compare the breakdown rather than the total, check the crew is theirs and not hired in, and ask what they have already done in Magarpatta. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Yes, and so does every person. We submit a vehicle list with registration numbers and driver names, a crew list with ID proof numbers, and an item-wise material list to the estate office and security before setup day. Passes are tied to gates and time slots, so we also agree when each vehicle enters rather than sending them all together.
Yes, with the sound and timing planned for the neighbours. We aim speakers inward, keep the build to civil hours, finish music inside the permitted window and clear the ground the same day. Residents get a quiet setup and your team gets a full-day event. The estate office usually sets these conditions, and we design the programme against them from the start.
From headcount, the venue you book, the stage and AV the programme needs, food, and how many entry slots the build takes. A hall session is a different order of work from a lawn family day with stalls and a kids' zone. We quote each of those as its own line, so nothing hides inside a round figure.
Yes. Floor-level celebrations, festive days, small award moments and induction sessions work well inside the office when the hall is booked or the event is short. We build in sections that fit a service lift, keep drilling out of it, work to your facilities team's hours, and hand the floor back ready for the next working day.
Outdoor sound normally has to stop by the permitted night hour, so we plan backwards from it. The loud part of the evening, music and performances, goes first; speeches, awards and dinner follow. Indoors you have more room to run on. Confirm the exact cut-off with the estate office when you book, and we will build the run-sheet around it.
Quite a lot, as long as the venue and the gate paperwork move first. Hall availability and entry passes are the two things that cannot be rushed, so we chase those the same day you call. Stage, sound, décor, food and the programme can all be assembled in a short window. The narrower the notice, the fewer venue choices you will have.
We do, the same night for an indoor hall and by the next morning for a lawn. Dismantle, waste removal, matting and cabling, stall frames and signage all go out on an outward gate pass that matches what came in. The estate office usually sets a clean-up standard when it approves the booking, and we work to that rather than to our own idea of tidy.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles town halls, family days and annual days in Magarpatta. The same crew covers Pune. Ask who is on site on the day and who answers the phone if something slips.
Start with teams that already work in Magarpatta — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Magarpatta with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Magarpatta are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
