Most corporate events in Kharadi begin after office hours and end before the last cab. We plan, set up and run R&R nights, annual parties, conferences and launches in tower auditoriums and the banquet rooms around them.

Corporate event management in Kharadi is mostly evening work, and that single fact changes the plan. Your guests are the same people who were at their desks an hour earlier, so they arrive in ones and twos rather than all at once, they arrive tired, and they leave on a transport schedule somebody else set. An event that ignores any of those three loses the room before the awards begin.
The belt gives an HR or admin lead two honest choices. There is the auditorium or cafeteria upstairs in your own tower, which costs nothing to reach and has to be returned to working order the same night. Or there is a banquet room in the hotel belt a short walk away, which gives you a proper stage, a kitchen and a later finish, but needs invitations that say exactly which entrance to use.
We work with both, take the goods lift and the security process as fixed, and design the build to fit through them.
Recognition evenings with a tight category order, stage walk-ups, entertainment between segments and dinner after.
Company evenings with a theme, music, a short award block and a finish the cabs can meet.
Day sessions with registration, screens, breakouts and recording, closing into a networking evening.
Quarter-close meets with presentations, breakout rooms and an evening that rewards the numbers.
Reveal moments with LED, lighting, demo corners and a stage that works for cameras and press.
All-hands sessions in a tower auditorium with clear sound, question mics and a feed for other offices.
Hosted dinners with a short programme, hosts at the door and seating planned around who should meet whom.
Diwali evenings, go-live celebrations and anniversary nights with décor, food counters and a photo corner.
These are the parts we plan, set up and run for corporate events across Kharadi.

Tower auditoriums, cafeterias, banquet rooms and terrace decks compared on access hours, stage depth, food and finish time.
Service lift bookings, basement entry timings, vehicle passes and a night strike slot confirmed before the crew is called.
Category order, name checks, trophy handling, walk-up cues and a photographer positioned where the picture actually happens.
Staging, screens, lighting and sound built in pieces that fit a lift, with a rehearsal before doors open.
Desks, badges, table plans for dinner rounds and ushers who fill the front rows before the first speech.
Entrance setups, lounge corners, backdrops and photo walls sized for an indoor room rather than an open ground.
Every photo here is from an event our team planned and ran.
Tell us the date, the guest count, the budget and the feeling you want in the room. We ask the questions most people forget.
You getFirst ideas and a budget range
Theme, décor, stage layout and a minute-by-minute run of show, drawn up and revised until it feels like yours.
You getMoodboard, layout and an itemised quote
Venue shortlists, caterers, artists, anchors and the paperwork — police, music licences and venue approvals — handled by us.
You getLocked vendors, one point of contact
Décor goes up, truss and LED walls are rigged, sound is checked and the anchor rehearses every cue with our show caller.
You getA walk-through before guests arrive
Our crew runs the floor, the stage and the guests. When it is over, we clear the venue and send you the photos.
You getA calm host — you — and the memories
An evening event in this belt is a timing problem dressed up as a design problem. The stage, the theme and the menu are the easy half. The hard half is that your venue is a working building until a few hours before doors, and your guests leave on transport that will not wait.
Choose the auditorium when the content matters most and the banquet room when the evening matters most. A tower auditorium is free, warm, already lit and thirty seconds from a desk, which is why town halls, launches, reviews and conference sessions live there. What it gives up is flexibility: fixed seats that cannot be moved into dinner rounds, shallow stage depth, a ceiling nobody is allowed to hang from, and a hard stop when the building shuts. A banquet room down the road brings a kitchen, a real stage, a later finish and parking you can direct people to, at the price of a room rate and a walk. For an R&R night with dinner and an artist, the banquet room usually wins. Our award night page covers that format in full.
Fix the finish time first, then work upwards. The closing speech belongs before dinner, not after it, because once food is served the room disperses and never fully returns. Awards go early enough that the people being recognised are still in their seats. This is how a typical evening here is timed, and what the crew is doing behind each block.
| Block | On the floor | Behind it |
|---|---|---|
| Afternoon | Office still working | Material up the goods lift in sections, quiet build, cable routes taped down |
| Late afternoon | Room closed off | Stage, screen and lights up, sound check kept short and low |
| Before doors | Rehearsal | Speaker cues, award order, every video played end to end, anchor briefed |
| Doors and first hour | Arrival, snacks, photos | Registration desk, ushers filling front rows, music bed, latecomer plan |
| Main programme | Speeches and awards | Show-calling, graphics operator, trophy handler, photographer at the walk-up |
| Dinner and close | Food, music, goodbyes | Transport reminders, lost-property desk, strike crew called in |
| After close | Room empty | Dismantle down the same lift, outward pass, floor handed back for work |
Assume you cannot make noise, block a lift or drill anything until the floor clears. That rules out the build most planners would default to, so we design in panels and sections that a service lift can take, carry a spare of everything small rather than sending a vehicle back through evening traffic, and keep a crew list with ID proofs filed in advance so security lets people up without a phone call each time. The night end matters just as much: a midnight strike needs someone from facilities still on duty, a lift that is not locked off, and an outward material list that matches what came in. We agree both slots in writing before the first truck is loaded.
Conferences here often turn into evenings, and the join between them is where events go wrong. Day sessions need a flat room, projection, roving mics and a recording; the evening needs mood lighting, a different stage look and dinner service. If it is the same room, the changeover is a scheduled item with its own crew and its own clock, usually covered by a tea break that is longer than it looks. If it is two rooms, somebody has to move the guests, and that somebody is an usher with a plan rather than an announcement. We write both halves as one run-sheet with one show-caller. See conference organisers in Pune for the daytime side.
Book an award night or conference about two months out, and a smaller team evening three to four weeks out, because good banquet rooms in this belt are taken long before December. Our office is on the other side of Pune, so we plan recce visits outside office peaks, hold the crew and material at the venue rather than shuttling, and brief a runner for anything that is still needed once the roads have turned. For the wider corporate picture, see how we work as corporate event planners in Pune; for weddings, birthdays and everything else in this area, see event management in Kharadi.
The listings for Kharadi are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Kharadi before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Use the auditorium if the evening is mostly speeches and awards, and a banquet room if there is dinner, an artist and a late finish. The auditorium wins on attendance and costs nothing to reach, but fixed seats, shallow stage depth and a building that closes will shape your programme. We shortlist both and show you what each one allows.
Quite a lot, as long as nothing hangs from the structure. We use floor-standing truss, sectional risers that extend the stage forward, LED or projection sized to the ceiling height, and lighting on stands rather than overhead rigs. Seating stays where it is, so the plan shifts to the stage, the screen graphics and the entry corridor outside the room.
Guest count, the venue you pick, the size of the stage and AV, the entertainment and how long the space is blocked. A town hall in your own auditorium and an award night with dinner in a banquet room are different events on every line. Tell us the brief and we will send an itemised proposal you can take to finance.
Indoors, later than you would think; outdoors on a terrace or podium, sound has to stop by the permitted hour. The real limit is usually transport, not the venue. We fix the finish time first, put the closing speech and the awards before dinner, and keep the last block light so people can leave without missing anything.
Yes, and we plan for it. Material goes up the goods lift in sections during the day, the noisy part of the build waits until the floor clears, cable routes are taped along agreed paths, and crew names with ID proofs are filed with security in advance. The room is handed back the same night, ready for work the next morning.
Yes, and we write it as one run-sheet. The changeover between a flat conference room and an evening setup is a scheduled item with its own crew, usually hidden inside an extended tea break. If the two halves are in different rooms, ushers move the guests rather than an announcement. One show-caller stays across both.
The planner who took your brief is there through setup, rehearsal, show and strike, with a show-caller on cues and crew on stage, sound, lights and graphics. You are not handed to a new face on event day. Your HR team gets one person to point at, and that person carries the run-sheet everyone else is working to.
That phrase has no official meaning, so the useful question is what to compare. Plan With YOLO has planned events since 2013 out of Pune and handles r&r and award nights, annual parties and conferences and summits in Kharadi. The same crew covers Pune. Ask for the breakdown — décor, stage, sound, crew, transport — and compare like for like.
The shortlist worth having is teams who have set up in Kharadi before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Kharadi with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Kharadi are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
