The rule that catches teams out is that this file describes a frozen design. Add a truss, change a truck, swap a crew member on the morning, and that line needs clearing again. We close the list a week out and keep two spare names on it for the replacement that always happens.
Fix the hour around your shift pattern before anyone prints an agenda. A belt where support and delivery teams work around the clock has no single convenient slot. For a town hall the honest options are two sittings, or one sitting with a live feed, a recording and a moderated question channel so the people watching are participants rather than spectators. For an R&R night the finish time matters more than the start, because cabs and buses run to a schedule and an evening that overruns makes people choose between the closing speech and their ride home. Move material outside office hours or accept that it will sit in traffic. The roads serving the phases fill in both directions at shift change, and a truck that misses its slot cannot simply wait at the gate. For anything with a stage we load in the previous day and keep the crew on site rather than running them back and forth; for a small floor setup, an early call before the desks fill is cleaner. Strike is the other half of the same problem: a late dismantle needs security cover, a manned gate and an outward pass that matches what came in. Both ends go into the run-sheet.

Allow six to eight weeks for anything with a stage and three to four weeks for a floor-level event.
