Room and light survey
Window positions, fixed lighting that cannot be switched off, ceiling height and throw distance — all of which decide brightness and placement.

The projector that works in a dark training room disappears in a banquet hall with chandeliers on. Brightness and screen size are chosen from the room and the back row, which is why a model number is the wrong place to start.
Projection competes with whatever light is already in the room. A hall with daylight down one side, or chandeliers the client will not switch off, needs several times the brightness of a curtained training room. People usually discover this on the morning of the event, when the slide looks washed out and there is nothing left to do about it.
Screen size works the other way — it comes from the furthest seat. Text that is comfortable at the third row is unreadable at the fifteenth, and shrinking the font to fit more on a slide makes it worse.
Where the room or the content defeats projection, an LED wall is the honest answer and we will say so rather than sell a brighter projector.
Every photo here is from an event our team planned and ran.
Each of these has stopped a session somewhere in the city.
Window positions, fixed lighting that cannot be switched off, ceiling height and throw distance — all of which decide brightness and placement.
Size from the back row, height so heads do not block the lower third, and a position that does not fight the stage.
Presenter laptop, a backup, camera and playback on a switcher, with every cable run tested before the room fills.
Mics for the speakers and sound from the video routed to the same desk, so a film does not play silently to a full room.
Where a session is to be kept or sent out, the capture and the upstream are planned rather than improvised on a phone.
Slides and videos run on the real setup before doors, and someone behind the desk for the show.
Main screen plus confidence monitor so the speaker is not turning round.
Smaller rooms, several of them, often running at once.
Camera on the speaker so the back of a long room can see a face.
Clean, quiet, reliable, with the recording handled properly.
Playback cued to the reveal, with a backup path that can take over instantly.
The room and the people joining online fed from the same desk.
Big halls with daylight, where brightness is the whole problem.
A screen for the family film during a reception, placed so it does not block the stage.
Five, and they take a phone call rather than a site visit.
Often they cannot — a hotel will not darken a ballroom during a meal, and a college hall has windows. That single answer sets the brightness, and brightness sets the price.
Screen size follows from it. If the room is long enough that the screen would have to be impractically large, the answer is a second screen partway down, or an LED wall.
Three presenters with three laptops, one of them a Mac, is a switching problem that needs adapters and a rehearsal — not something to discover at the lectern.
Recording changes the microphone plan and the lighting, because a camera is far less forgiving than the eye. Deciding afterwards that the session should have been recorded is the most expensive version of this.
Equipment dropped off needs someone who knows it. Our operator sits at the desk for rehearsal and for every session.

Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
It depends on how much light is in the room and how big the image has to be. A curtained training room needs a fraction of what a hotel ballroom with chandeliers on needs. Tell us whether the lights can be dimmed and where the windows are, and the right brightness follows from that rather than from a model number.
Set by the furthest seat: text on your slides should be readable from the back row without anyone leaning in. If the room is too long for one screen, the answer is a second screen partway down the hall or an LED wall, not a bigger font.
Yes, and it is planned rather than added on the day, because recording changes the microphone plan and the lighting. A camera is much less forgiving than the eye, so lighting that looked acceptable in the room can be unusable on the recording.
Yes. An operator is at the desk through rehearsal and every session, handles switching between presenters and keeps a backup path ready. Dropping equipment at a venue is not something we do.
Only if it is discovered at the lectern. We collect the machines and connectors beforehand, carry the adapters, and run every deck in rehearsal so the switch between presenters is clean.
If the room cannot be darkened, or the content is video-heavy and the image has to be large, an LED wall is usually the better answer and we will say so. For a dimmable room and slide-based sessions, projection costs considerably less and looks fine.
Nobody awards that title, so it comes down to which team fits the event you are actually running. Plan With YOLO has planned events since 2013 out of Pune and handles conference and seminar, training and workshop and town hall and all-hands in Pune. Ask each name you shortlist for an itemised scope rather than one figure, and compare the same lines.
Look for a team that has already worked in Pune, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Send the room and the running order.
Venue, date, how many presenters and whether it is being recorded. We size the kit to that and quote it openly.
