The running order
Printed, numbered, timed, with the group name and the contact parent against each item. Published two days before so eleven sets of parents are not asking the same question on the night.

The annual gathering is the function a society is judged on. Every family is there, every child is performing, every parent is filming, and the whole evening turns on one sheet of paper that says who goes on stage next.
We produce school annual days and gatherings all year, and a society version is not a smaller one. It is a harder one.
A school has an auditorium or a ground, a stage it owns, teachers who run rehearsals as part of their job and a bell that enforces timing. A society has a podium, a volunteer committee, parents who are also the performers’ coaches, and no authority to tell anybody their item is too long. The crowd is also the neighbours, which means the 10 pm limit is real and the complaint comes from inside the compound.
So the production is the same and the process is different: rehearsal slots booked in the clubhouse, music files collected in advance, a running order published two days before, and a backstage marshal per three groups so nobody is looked for while the stage is empty.
In the order it goes wrong.
Printed, numbered, timed, with the group name and the contact parent against each item. Published two days before so eleven sets of parents are not asking the same question on the night.
A marshal per three groups, a holding area out of the audience's sight, and the next group standing in the wing before the current one finishes.
Files collected in advance, named by item number, cued by an operator at a laptop. Not handed over on the night from a phone with a cracked screen.
A platform at a height that works for small performers, a backdrop, a wash and two specials. See <a href="/event-production-company-in-pune/">stage and production</a>.
Someone who can hold a courtyard, cover a four-minute gap when a group is not ready, and keep the prize distribution moving. See <a href="/event-anchors-and-emcees-in-pune/">anchors and emcees</a>.
Printed certificates per participant, trophies for the categories you set, and a distribution sequence that does not run to midnight.
Every photo here is from an event our team planned and ran.
The main one — dance, drama, music, a fashion round, prizes, and three hundred people seated.
Morning flag hoisting, patriotic items, a short speech and sweets, done before the sun is high.
Daytime, games-led, lower production and often the first function a new committee tries.
Low structure, high participation, and a hard limit per entry or it never ends.
A short stage programme around a competition, with lighting as the main spend.
More floor than stage, and the strictest sound-timing problem of the year.
Seating for everybody, no standing items, sound kept low and the programme kept to ninety minutes.
A hard stop at the noise limit, which has to be stated when the invitation goes out rather than discovered at ten.
The evening is decided in the fortnight before it.
By a stated date, with a time limit per item — four minutes for a dance, six for a skit. Eleven groups at four minutes is forty-four minutes of stage time and a two-hour evening once changeovers, anchoring and prizes are added. Fourteen groups with no limit is a programme that ends after the noise curfew.
Two days before, named by item number, in one folder. Every society that collects music on the night loses fifteen minutes to it and the audience watches an empty stage.
Give each group five minutes on the actual platform the evening before. Children who have never stood on it find out on the night that it is higher, smaller and brighter than they expected.
Group four waits in the wing while group three performs. One marshal per three groups makes this happen; an announcement asking group four to come to the stage does not.
Published on the running order, and kept to it. Prize distribution is where a gathering overruns, because every category becomes a speech. Decide in advance who speaks, and for how long.
On timing: in a residential area amplified sound stops at 10 pm. Work back from that, not forward from whenever people turn up, and say so on the notice. A programme advertised from 7 pm that starts at 8 is a programme cut short in front of the children who rehearsed for a month.

That search returns whoever advertises hardest in Pune, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Two to two and a half hours including the prize distribution. That is roughly eleven items at four minutes each, plus changeovers, anchoring and prizes. Societies that accept more items without a time limit end up either finishing after the 10 pm sound limit or cutting the last three groups, and those are the children who practised longest.
We schedule them and provide the space and the stage the evening before; the groups are coached by their own parents and residents, which is how it should be. What we add is a slot list, somebody to open the clubhouse, and the sound available at the dress rehearsal so the music is tested before the night.
For a podium or courtyard gathering, usually 20 by 16 feet at a height of two feet, with steps on both sides and a wing to wait in. Lower than that and the back rows see nothing; higher and the small performers are unsafe. The real constraint is where a tempo can reach, so the position is decided on a site visit.
If it covers the seating properly, yes, and the quote drops. Many societies own a system that is fine for an AGM indoors and well short for three hundred people outdoors with recorded dance tracks. We will test it at the rehearsal and tell you straight.
Printed certificates for every participant prepared in advance, trophies only for the categories you have decided, a fixed sequence, and one named person handing out rather than the whole committee on stage. The time it takes is set by how many people speak, so that gets agreed beforehand.
Sound first, then stage lighting. Décor is what people photograph and sound is what they experience — a beautiful backdrop with inaudible music is the complaint we hear most often about last year's gathering. If the budget is tight, cut the florals and keep the audio.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles annual gathering, independence and republic day and children’s day and women’s day in Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
Start with teams that already work in Pune — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

How many groups are performing, how many flats are in the society, and what space you have. The running order and the stage plan come from those three.
