The draw and fixtures
Entries by age category, seeded into a draw that gives everyone at least two games, printed and put on the noticeboard before anything starts.

Society sports week collapses for the same reason every year. Sixty entries arrive on WhatsApp, the draw is made on the morning of the first match, two families play four times and nobody else plays twice, and the finals are still pending when the prizes are handed out.
A society sports week is not a sports problem. It is a scheduling problem with a podium, an internal road, a badminton court and two free weekends.
Get the draw right and everything else follows: every entrant plays at least twice, the courts are never idle, the children’s events finish before the heat, the adults play in the evening, and the finals land on the closing day in front of a crowd. Get it wrong and you spend the second weekend apologising.
We run these alongside the rest of the society calendar, and they share a crew with the corporate sports days we produce — same draws, same referees, same scoreboard, fewer sponsors.
Every photo here is from an event our team planned and ran.
Most societies have the space and none of the structure.

Box cricket nets, badminton court marking and lighting, a safe cycle-race route on the internal road with marshals, and carrom and chess tables under cover.
Neutral officials for cricket and badminton, scorers who keep a sheet, and marshals on the road events so nobody rides into a reversing car.
A first-aid kit and a trained person on site, a route that keeps fire access clear, and the ambulance number on the fixture sheet.
Housie, musical chairs, lemon and spoon, tug of war and the children's races — the events that get the families who do not play sport to come down.
A stage, sound, the prize distribution and a programme, produced by the same crew. See society events.
The one everyone wants. Needs netting, a hard surface, lights for evening matches and a strict over limit or it eats the whole weekend.
Court marking, decent lighting and a shuttle budget. The most over-subscribed event in most societies.
The internal road, closed for an hour, with marshals at every turn and age categories kept apart.
Cheap, shaded, and the events the senior residents actually enter. Run them in the clubhouse across both weekends.
Building against building. Short, loud, and the single best photograph of the week.
Not a sport and the highest attendance of anything on the list. Run it on the closing evening.
Sack, lemon-and-spoon, three-legged, by age group, finished before eleven in the morning.
Only where the amenity exists, and swimming needs a lifeguard present, not a notice saying swim at your own risk.
Five decisions, taken in this order.
A stated date, a form, an age category per entry. Entries accepted on the morning make a draw impossible and every late entry is a family who will be unhappy either way.
On the noticeboard and in the society group, before the first match, with court and time against each fixture. This single sheet prevents most of the arguments a sports week generates.
Children in the morning, seniors mid-morning in the shade, adults in the evening under lights. Pune in most months punishes an eleven o’clock children’s cricket match.
Six overs a side, one game to fifteen, best of one in the early rounds. Societies that allow proper-length matches never reach the finals and hand out prizes for incomplete events.
Schedule every final on the closing evening, next to the stage, before the prize distribution. The week is remembered for that hour.
On safety, two things are not optional: a marshal on every turn of a cycle route that shares road with parking, and a lifeguard physically present for any swimming event. Everything else on this page is about a good weekend; those two are about not having a bad one.

That search returns whoever advertises hardest in Pune, not whoever runs the better event. It is a starting list, and the sorting is still yours to do.
A team that has worked Pune knows the access, the power and the society timings. Ask for that, ask for the breakdown, and ask who runs the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Two, for a society of 150 to 400 flats running eight to eleven events. One weekend works only if you cut the entries or the events, and three drags — attendance falls away by the second Sunday. The draw is built backwards from the number of court-hours those two weekends actually give you.
Yes — nets, court marking, mats, boards, shuttles, balls, a scoreboard and the stage for the closing evening. Where the society already owns good equipment we use it and the quote drops. What we will not do is run box cricket without proper netting in a compound with parked cars.
For carrom, chess and the children's races, certainly. For box cricket and badminton finals, bring somebody neutral. A resident refereeing a match his own building is playing in is the most reliable source of a sports-week argument in any society.
A first-aid kit and a trained person on site for every session, the nearest hospital and ambulance numbers printed on the fixture sheet, marshals on all road events and a lifeguard present for anything in the pool. Entrants sign the entry form, which states the events are played at their own risk — that is normal practice and not a substitute for the arrangements above.
Yes. Medals, trophies and printed certificates, all produced in-house, plus the stage, sound and anchoring for the closing evening. Societies usually keep the budget for prizes modest and spend it on more categories rather than bigger trophies, which is the right instinct.
Often, yes — a local clinic, a gym, a builder or a bank branch will fund medals or a banner in exchange for signage at the closing evening. We will print it and place it, and we will tell you where a sponsor board starts looking like an advertisement hoarding in your own compound.
Nobody awards that title, so it comes down to which team fits the event you are actually running. Plan With YOLO has planned events since 2013 out of Pune and handles box cricket, badminton and cycle race in Pune. Ask who is on site on the day and who answers the phone if something slips.
Look for a team that has already worked in Pune, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

How many flats, and how many weekends?
Those two numbers decide how many events fit. Send them with what space you have — podium, road, court, clubhouse — and we will come back with a fixture plan.
