Reception stages for Baner hotel banquets and society halls. Ground-supported structures, uplighting that takes the beige out of the room, and the hotel’s vendor process handled.
The reception here usually lands in one of the hotel banquet rooms along the main road or in a larger society’s banquet space. Good rooms: proper power, air conditioning, and often AV already rigged.
What comes with them is a vendor policy. An outside decorator is normally allowed and normally charged for, the ceiling is usually off limits for rigging, and the hotel’s own banqueting team will want a load-in time and a crew list days in advance.
The design problem in these rooms is rarely space. It is pillars, a low false ceiling, and a wall of patterned carpet that fights whatever colour you choose.
Half of this list exists because of the venue’s rules rather than ours.

Everything stands from the floor, because a hotel false ceiling is not a rigging point and they will stop you.
Wash light that puts your colour over the room’s, which is what makes a hotel banquet hall look like your wedding.
A backdrop designed around the pillars and the ceiling height the room actually has.
How four hundred people get in, greet, photograph and get to a table, worked out on the floor plan.
The hall usually has a function the next day, so the strike time is agreed before we load in.
Every photo here is from an event our team planned and ran.
A full stage, entrance and lighting build inside a hotel’s vendor rules.
In a large society’s own hall, free-standing throughout.
Open air at the venue, with everything weighted and lit for the evening.
A screen behind fresh flower work, for a room where content runs through the evening.
Clean lines and strong light rather than a full floral wall.
One structure that serves the sangeet night and is reworked for the reception.
Welcome gate, gifting table and a separate photo backdrop away from the stage.
A hundred guests in a smaller banquet room, scaled down rather than thinned out.
A hotel room removes most of the practical problems of a reception and replaces them with procedural ones. Both are manageable if they are known early.
Nearly every hotel here allows an outside decorator and charges a fee for it. They will also want a crew list, a load-in slot, sometimes proof of insurance, and a named person on our side. Submitted a week out, none of it is friction. Submitted on the day, it is a crew standing in a service corridor.
Banquet rooms here mostly have a false ceiling with services above it, and the hotel will not allow rigging into it. So the structure is ground-supported throughout. It is heavier and it takes longer to build, which belongs in the schedule rather than in a surprise at nine in the evening.
Most of these rooms have them. Fighting them wastes money; a stage placed so a pillar frames rather than blocks the view costs nothing extra and solves the sightline for half the room.
Hotel banquet halls come in beige, with patterned carpet and warm downlights that flatten everything. Wash light around the perimeter in your colour does more to the look of the evening, rupee for rupee, than another two feet of flowers.
There is usually a function the next day, so the strike window is agreed before load-in. See reception decoration, mandap decorators in Baner, and wedding planning in Baner.
The listings for Baner are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Three questions separate the shortlist quickly: has the team worked in Baner before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

Often it is negotiable and sometimes it is not. Many hotels here allow an outside decorator on payment of a fee; a few genuinely restrict it. Ask banqueting for the policy in writing and send it to us. If the answer is a hard no we will tell you rather than quote for something that cannot happen.
No, and you should be wary of anyone who says yes. Those ceilings are false, with air conditioning and services above them, and the hotel will stop the build. Everything we put up stands from the floor, which is why the structure is heavier and the build is longer.
Move the stage. It sounds obvious and it is the thing most people resist. A stage placed so the pillar sits beside it rather than in front of it fixes the sightline for a third of the room and costs nothing. We will show you both options on the floor plan.
With uplighting, yes, and that is the single most cost-effective thing in a hotel room. Wash light around the perimeter in your colour takes the beige out of the walls and the carpet out of the photographs. It costs less than the equivalent spend on flowers and does more.
Usually a crew list with ID numbers, a load-in and load-out time, the outside-vendor fee, and sometimes an insurance copy. We submit it to banqueting about a week ahead. If you can give us the hotel contact when you book, you never hear about any of it again.
The stage and the floral on it are the biggest lines, then lighting, then the entrance. The hotel’s outside-vendor fee is also real money and we show it separately rather than burying it. Send the hotel, the date and the guest count for an itemised scope.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles hotel banquet reception, society banquet reception and poolside or terrace reception in Baner. The same crew covers Pune. Ask what happens to the price when a number moves; a single figure tells you nothing.
Start with teams that already work in Baner — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Baner with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Baner are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
