Nobody sells destination weddings off a shelf, whatever the word suggests. What you are really comparing is two lists of inclusions — so this page sets out everything that belongs on one, and the four things that are almost always left off.
Families ask for a destination wedding package and get back two documents that differ by lakhs. Usually neither is wrong. They are covering different things.
One includes guest rooms and the other assumes families pay their own. One carries decor for all four functions, the other for the pheras alone. One has the crew's travel and stay inside it, the other adds it later as 'logistics'. Until both are broken into the same lines, the cheaper one is only the one that promised less.
So that is what this page is: every line a destination wedding package can contain, written out. Take it to whoever you are comparing, ours included, and ask them to tick what is in and what is out. The expensive surprises all live in the gaps.
Arrive, one evening function, the wedding day, leave. The cheapest real version and the one most families actually want.
A full week in miniature: welcome dinner, haldi and mehendi, sangeet, pheras, reception. Rooms are the line that grows, not decor.
A villa or a small property taken whole. Per-head costs look high and the total is the lowest of any format.
The common size. One resort usually holds it, which keeps transport simple and the whole thing in one place.
Rooms run out before space does. Expect two properties or a day-guest plan, and build the transport around that first.
Lonavala, Mahabaleshwar and the plateau. Guests can drive themselves, which removes the single biggest logistics line.
Alibaug, the coast, Goa and further. Everything is a convoy, material travels the day before, and the crew stays throughout.
Where a property sells rooms, food and venue as one. We take their package and bring only what it does not cover.
Six headings. A quote that does not address all six is not finished, whoever wrote it.
Hire for the lawns and halls you use, for the days you use them, with the venue's own restrictions named rather than discovered.
How many rooms, for how many nights, on what plan — and stated plainly whether the family or the guest is paying for them.
Buses or cars from Pune, airport or station pickups, and the return. Guest transport is the line most often missing entirely.
Haldi, mehendi, sangeet, pheras and reception each with its own decor, stage and lighting, rather than one figure for 'decor'.
Our people sleep and eat somewhere for three days. That is in our number from the start, not added once you have agreed.
What the package does not cover, in writing, before you sign. It is the single most useful page in any quote.
Every photo here is from an event our team planned and ran.
There is no industry standard for what a package contains, so the only defence is making every quote answer the same questions. These are the ones that cost money.
This single line moves a destination wedding budget more than every decor decision put together. Some families take the whole property and host everyone. Some block rooms at a negotiated rate and guests pay their own. Most do a mixture — immediate family hosted, everyone else blocked. Decide it before you compare anything, because a quote that includes a hundred room-nights and one that does not are not comparable in any way.
Two hours from Pune, people drive themselves and you need parking. Four hours away you are running buses, and buses need a timetable, a return and someone counting heads. It is a real cost and it is the one most often left for later, which is how it becomes an extra three weeks before the wedding.
A destination wedding is four or five separate setups in three days, often in different corners of the same property, each needing its own build and strike. One line saying 'decor' tells you nothing and almost always means fewer functions than you pictured. Ask for them named.
Fifteen to twenty-five people travel for a destination wedding and they are there for three or four days. Their travel, accommodation and food is a real number. We put it in the quote from the start because leaving it out makes our figure look better and your final bill worse.
Often, and we will tell you when. Properties that sell rooms, food and venue together can price them below anything we could assemble, because they are filling their own inventory. In that case the sensible arrangement is to take their package and bring us in only for what it does not cover — decor, production, the functions and the running of the days. You should not be paying us to re-sell you a room.
Ask every planner for one. Ours typically names guest airfare, alcohol and its licensing, the pandit and the ceremony items, personal shopping, and anything a guest orders to their own room. None of that is unusual. What is unusual is being told before rather than after. See destination wedding planning for how the work runs, venues near Pune for choosing the property, and wedding planner cost for how quotes are built generally.

At minimum it should cover the venue block for your dates, decor and production for every named function, the crew who run them, and that crew's travel and stay. Rooms, guest transport, catering and alcohol may or may not be inside it depending on the property and the arrangement — which is exactly why the list matters more than the figure.
Almost always because they include different things, not because one is cheaper. The usual gaps are guest rooms, guest transport, how many functions carry decor, and whether the crew's travel and stay is inside the number. Put both quotes into the same six headings and the difference usually explains itself.
For rooms, food and venue, frequently yes, because they are selling their own inventory and can price it below anything we could assemble. Where that is true we will say so and take their package as the base, bringing only decor, production and the running of the days. You should not pay a planner a margin on a hotel room.
No, and most families do not. The common arrangement is that immediate family and elders are hosted, and everyone else is given a blocked rate they settle themselves. Some properties insist on a minimum number of room-nights being bought, which is a real commitment and we will flag it before you book rather than after.
Two nights is the honest minimum: a welcome evening, the wedding day, and leave. Three nights lets you spread haldi, mehendi and sangeet without anyone being rushed, and it is where most families land. Beyond three, rooms and food dominate the budget and guests start leaving early anyway.
Guest airfare, alcohol and the licence it needs, the pandit and the ceremony items, personal shopping and anything guests charge to their own rooms. Sometimes guest transport and sometimes the crew's stay. None of it is unreasonable to exclude. All of it is unreasonable to exclude quietly, so ask for the exclusions in writing.
Six to nine months for a peak-season date at a property that is in demand, and the venue is the part that goes first, not us. If your dates are fixed and the property matters, block the venue before anything else is decided. Everything else can be built around a confirmed venue; nothing can be built around a date with no venue.
It depends almost entirely on the guest count, the number of room-nights and the distance — in that order, and far more than on the decor. We do not publish a figure because a two-night wedding for fifty in Lonavala and a three-night wedding for three hundred in Goa are not the same product. Send the guest count, the dates and the distance you are willing to travel and you will get the whole thing itemised.
