Screen, DTF and vinyl transfer give different results at different quantities, and the wrong choice is why event t-shirts come back stiff, cracked after one wash, or four times what they should have cost.
Screen printing. Ink pushed through a stencil, one screen per colour. Setup cost per colour, then very cheap per piece — so it is the right answer above roughly fifty shirts with a design of one to three colours. The softest result and the most durable.
DTF transfer. The design is printed onto film and heat-pressed on. No setup, unlimited colours, photographs and gradients all fine, and every shirt can be different — which is what makes named team shirts possible. Slightly heavier on the hand than screen, excellent durability.
Cut vinyl transfer. Solid-colour vinyl cut and pressed. Best for numbers, names and simple single-colour text in small quantities. Not for detailed artwork.
So: fifty-plus shirts, simple design, screen. Any quantity with a complex or photographic design, DTF. A handful of named or numbered shirts, vinyl. We will tell you which your job is rather than quoting whichever we would rather run.
Crew and promoter shirts for a date, in bulk.
Annual day, family day and offsite shirts, often with names.
Large runs, tight budget, core-team shirts with names on the back.
Numbers and names, in moisture-wicking fabric rather than cotton.
Branded shirts for customers or delegates.
High-visibility colours so staff can be found in a crowd.
Same methods, heavier garment, longer lead time.
The rest of the merchandise set, usually ordered together.
Two of these four are decided before any printing happens.
Fabric, GSM, colour and a size breakdown collected up front — it cannot be adjusted once ordered.
Screen, DTF or vinyl, chosen from quantity and colour count, with the reason explained.
Scaled to the chest or back area properly, with colours set for the garment colour rather than for a screen.
One shirt printed and washed before a bulk run, which is the only real test.
In one batch so colour and placement are consistent across the order.
Sorted and labelled by size, which saves an hour of chaos on the morning of an event.
Every photo here is from an event our team planned and ran.
Five things, and the first two cause nearly every problem.
The single commonest failure. Guessing the size split means twenty unused smalls and fifteen people without a shirt. Collect actual sizes, add a few extra larges, and accept that this takes a week of chasing — it is the week that makes the order work.
A thin, loose-knit tee prints acceptably and then shrinks, twists and goes shapeless on the first wash. People judge the shirt, not the print. A slightly better GSM is a small part of the total and most of the impression.
One shirt, printed, washed, looked at. This catches cracking, peeling and colour shift before it happens to two hundred. Any printer who will not do this on a large order is worth avoiding.
The delay in t-shirt orders is almost never printing — it is getting the right colour in every size. For a dated event, order early and have a second colour you would accept.
A logo sized for a screen is usually far too small on a chest. Print area, placement height and how it sits on the smallest and largest sizes all need checking — a design that fits an XL can be off the edge of an S.
See event branding for the rest of the set, and activations for crew kit.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

It depends on quantity and colours. Screen printing above about fifty shirts with a one to three colour design — softest and most durable. DTF transfer for complex, photographic or per-shirt-different designs at any quantity. Cut vinyl for a handful of names or numbers.
It is the blank plus the printing. The blank varies a lot with fabric and GSM, and the printing varies with method and colour count — screen has a setup per colour then very low per piece, DTF has no setup but a higher per piece. Send quantity, design and fabric preference.
Earlier than you think, because the delay is almost never printing — it is sourcing the right colour in every size. Two to three weeks is comfortable for a bulk order. Collecting the size breakdown from people usually takes a week on its own.
Not if the method and fabric suit each other and the run was wash-tested first. We print one shirt, wash it and look at it before a bulk run. Cracking usually comes from heavy ink on a stretchy fabric or a transfer pressed at the wrong temperature.
Yes, with DTF or cut vinyl — names on the back, numbers, or individual designs. Screen printing cannot do it, since each design needs its own screen. For a team or college order, the usual mix is a screen-printed front and DTF names on the back.
Cotton for comfort and a soft print, polyester or a blend for sport and anything where sweat matters, and a decent GSM either way. The cheapest blanks shrink, twist and go shapeless after one wash, and people remember the shirt rather than the print.
It is worth treating that search as a shortlist, not an answer — no one certifies a best. Plan With YOLO has planned events since 2013 out of Pune and handles event and activation tees, corporate team tees and college fest tees in Pune. The same crew covers In Pune. Ask each name you shortlist for an itemised scope rather than one figure, and compare the same lines.
The shortlist worth having is teams who have set up in Pune before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

How many, the design, and the date. Start collecting sizes now — that is what usually holds the order up.
