We are a Pune team that drives up the expressway to plan weddings for Lonavala families. Karyalaya halls, small lawns and functions at home, held together by one coordinator from the first meeting to the vidai.
A wedding for a Lonavala family is a different job from a resort wedding in the same hills. The hall is ten minutes from home, the cooks are already known to your mother, and a good part of the guest list walks in rather than checks in. What is missing is somebody to hold the whole thing together: the mandap, the stage, the lighting, the food timings and the hundred small decisions that otherwise land on one tired uncle.
We are an event company based in Pune, and this town is an hour up the expressway. There is no office here and no crew of ours sitting in the market waiting for work, and we would rather say that plainly than dress it up. What happens instead: we meet you at the hall, walk it with you, draw the design back in Pune, and bring the crew up with the load before the first function. Flowers, hall labour and cooking staff are hired close to you wherever that makes better sense than carrying them.
The rest is hill weather. Rain here is heavier and longer than in the city, and the ground stays damp well after it stops, so every outdoor plan needs a real second answer.
Every photo here is from an event our team planned and ran.
These are the parts we plan, set up and run for a wedding in the town.

We see the karyalaya, hotel hall or lawn with you and check setup hours, power, kitchen access, unloading space and a dry backup.
Mandap, havan area and elder seating built to the priest's requirement and to the floor the hall actually gives you.
Morning and evening functions set up at home, in a courtyard or in the hall, with floor cover, shade and a wash point.
Reception stage, warm lighting and sound sized for the room, tested well before the first guest walks in.
Entry, gifting, photographs and buffet timing planned so the queue never folds back into the mandap.
A printed schedule for the family, the priest and the caterer, run by a coordinator who reaches the hall before you do.
Full-day weddings in a town hall, with mandap, seating and food counters planned around the hall's own fixed layout.
Open-grass functions for a shorter list, anchored and matted because the ground here is rarely fully dry.
Evening receptions in a banquet room, with a stage, warm lighting and a fast turnaround after a lunch function.
Courtyard or terrace haldi with floor cover, yellow drapes, shade for elders and a wash-up point beside the seating.
Shaded low seating, good working light for the artists and music kept soft enough for the aunties to talk over.
Rehearsal time, sound, lighting and a running order so family performances finish before dinner goes cold.
Smaller setups for a sitting room, a hall corner or a restaurant, built and cleared inside a single afternoon.
Pooja, a reception lunch and the send-off for relatives who stayed the extra night, planned as part of the same job.
We take the muhurat, the likely guest count and the halls you are considering, and tell you honestly what each one can and cannot hold.
You getA shortlist and a realistic date
One trip to walk the hall or lawn with you: setup hours, power points, unloading space, kitchen access and the dry backup.
You getMeasured notes and a floor layout
Each function drawn to scale for the hall you picked, with the load, the crew trip and local hiring priced as separate lines.
You getA plan you can approve line by line
Caterer timings, priest slot, hall handover time, crew stay and the tempo's departure are all confirmed and shared.
You getA dated run sheet for everyone
The crew reaches a day early, builds overnight where the hall allows it, runs each function to the sheet, then dismantles and drives back.
You getA wedding you get to attend
A Lonavala wedding is planned around the hall, the rain and the road, in that order. Local weddings here mostly happen in a karyalaya or a hotel hall in town rather than at a resort, and that changes the problem: you have a fixed room, a guest list you can almost name, and weather that can turn a morning function on its head.
Halls in a hill town compete with the tourist trade, not only with other weddings. Winter weekends are the tightest dates of the year because visitors fill the town and hotel banquets go first. If your muhurat falls on a Saturday or Sunday in those months, start asking about a year ahead. Weekday dates are easier and often run better, since the staff are not turning around two functions in one day. At the time of booking, settle three things in writing: how many setup hours you actually get, whether another function shares the same kitchen that day, and where a tempo can stand to unload. Those three answers decide more of the design than the theme does.
Plan the wet months as a covered wedding from day one. From June to September the rain here is heavier and more sideways than anything in the city, and the ground holds damp long after the clouds clear. Fresh flowers and drape sag in that humidity, so garlands and floral work go up as late as the schedule allows and everything else waits in a dry store inside the hall. This is how we usually place the functions when the forecast is against you.
| Function | Where it sits in the wet months | What the cover has to do |
|---|---|---|
| Haldi | Covered courtyard or the hall's side room | Keep the floor dry and non-slip, with a wash point in reach |
| Mehendi | Indoors, seating turned towards the light | Hold steady warm light so artists can work through a grey afternoon |
| Sangeet | Main hall | Carry sound without echo, and keep every cable off wet flooring |
| Baraat | A short route under a covered walk | Shelter the band and the drums, not just the family |
| Mandap and pheras | Inside, under the fixed roof | Let havan smoke out without opening the room to the wind |
| Reception | Hall, or a tented lawn with side walls | Stand up to a gust and keep the stage and the queue dry |
| Parking and entry | The nearest dry approach to the gate | Cover the walk from the car and hold the wet umbrellas |
Structure travels; perishables and hands are taken locally. The mandap frame, drape, stage, lighting, sound and the tools come up from our Pune store on a tempo that leaves early and is unloading by the time the hall opens. Fresh flowers, extra labour for carrying, hall cleaning staff and the cooking team are engaged close to you, because driving them up and down adds cost without adding anything to the wedding. You will see both sides in the quote: the load and the crew as travel lines, and the local hiring as its own line. Our mandap work and wedding decor pages show the kind of structures that make this drive.
Town weddings do not get one arrival wave, they get a trickle. Neighbours walk in early, relatives from the city reach at odd hours depending on traffic on the ghat, and a few always come straight from a bus without going home first. Plan for that instead of fighting it: a welcome point that is staffed from the moment the doors open, water and tea available long before the function starts, and a place for luggage. Tell the caterer honestly that service will be spread out. If elders are coming from far, keep a room or a quiet corner where they can sit away from the speakers.
Decide the guest number, the number of functions and the level of decor first, because those three drive everything else, including what we charge; the thinking behind that is set out on our wedding cost page. Then check the priest's timings against the hall's setup hours, and confirm who is responsible for clearing the hall afterwards. If what you actually want is a resort wedding with guests staying over, that is a different plan and a different page: see destination weddings in Lonavala.
The listings for Lonavala are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
Compare the breakdown rather than the total, check the crew is theirs and not hired in, and ask what they have already done in Lonavala. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.

No. We are an event company based in Pune, in Anand Nagar off Sinhagad Road, and we travel up for weddings in the town. There is no branch office here and no local crew of ours. Our team drives up for the recce and again with the load before the first function, and the travel is shown in your quote.
Yes, and most of the weddings we are asked about in the town are hall weddings. We work inside the hall's fixed layout rather than against it: mandap sized to the real floor, stage where the sightlines work, food counters placed so the queue does not cut the room in half. We also confirm setup hours and clearing time with the hall in advance.
Only under a roofed structure with closed sides, not an open lawn and hope. From June to September the rain here is heavy and often sideways, and the ground stays soft afterwards. If you want the green, we build a roofed setup closed on the sides, with a floor laid above the ground. If the budget does not allow that, the honest answer is to move the function indoors.
Cost is driven by your guest number, how many functions you hold, how much decor each one gets, and what has to be brought up from the city. The drive adds a transport line and a crew stay line, both shown separately so nothing is hidden inside a round figure. Send the date, hall and guest count and we will itemise it.
No. A destination wedding is a resort booking with room blocks, shuttles and guests staying two nights. This page is for families of the town: a hall or lawn near home, guests who mostly sleep in their own beds, and functions spread across the day. The planning work overlaps, but the budget and the schedule look very different.
Usually the day before the first function. The tempo leaves our store early in the morning and is unloading by the time the hall opens, and the crew stays overnight so setup can carry on into the night if the hall permits it. For a single evening function with light decor, one long day on site is sometimes enough.
No, home functions are a normal part of this work. A terrace haldi, a sitting-room roka or a courtyard mehendi needs the same planning attention, just less structure. We check the floor, the power load and the access stairs first, because carrying decor up a narrow staircase decides what design is sensible in the first place.
Reviews and ads decide who appears first, not who runs the better event. Plan With YOLO has planned events since 2013 out of Pune and handles karyalaya hall weddings, small lawn weddings and hotel banquet receptions in Lonavala. The same crew covers Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
Look for a team that has already worked in Lonavala, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Lonavala with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Lonavala are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
