A few points repeat through every season. Put shade wherever guests will stand and wait. Put drinking water in more places than feels necessary. Start the haldi early enough to finish before the sun turns hard. And test the generator changeover the evening before, not during the pheras.

Ask how many people the dining hall serves in one sitting, whether the kitchen handles your caterer's menu, how many cars and buses the compound takes, how many rooms are available, and how many hours before the muhurat you can start setting up. Ask too whether outside decorators are allowed or whether there is a fixed list, because that answer decides how much of your design is actually possible.
