Chakan weddings carry two guest lists: the family, and half the plant. We plan the functions so both can actually come, and bring the setup up from Pune a day ahead of the first one.

A wedding on the industrial belt has a particular shape. One half of the hall is family, often travelling in from another district. The other half is the people your father or your brother works with, and they come in whatever window the roster allows. Plan the functions without thinking about that, and you get a sangeet where the friends are missing and a reception the night before a general shift.
We are an event company based in Pune. We have no office in Chakan, no store on the belt and no local crew on call, and we would rather be straight about that than pretend otherwise. The design is drawn in Pune, the structure, lighting and sound come up on a tempo the day before, and our coordinators stay through your functions. Flowers, carrying labour and cooking staff are taken locally, which is faster for you and cheaper than driving them up.
The rest is the road. This stretch carries heavy vehicles all day, and that decides when our load can reach the venue and when your guests actually will.
Here is what gets taken on when a wedding on the belt is handed to us.
Halls, lawns and clubhouses along the highway checked for capacity, parking depth, kitchen access and how early the build can start.
Functions placed so colleagues on rotating shifts can attend, while the ceremony still sits where the priest needs it.
A mandap, havan pit and elder seating set out against the priest's list and the hall's real floor, not a drawing.
A reception stage, warm light and sound scaled to a big room or an open lawn, tested well before anyone arrives.
Marshalled car and two-wheeler parking, a staffed welcome point and a gifting line that keeps moving through a heavy crowd.
Stay arranged for relatives travelling in, with pick-ups from the bus stand or station and a luggage point at the venue.
Every photo here is from an event our team planned and ran.
We ask who in the family works shifts, what the muhurat allows, and how many people each function really has to hold.
You getA function calendar that fits
We drive up to see the hall or lawn, and check capacity, parking depth, kitchen access, power and the unloading point.
You getVenue notes and a floor plan
Mandap, stage, lighting and each function drawn out, with trucking, crew time and any generator shown as their own lines.
You getA budget you approve line by line
Rooms for outstation relatives, pick-up timings, caterer schedule and the hall handover are all confirmed in writing.
You getA dated run sheet for the family
The load reaches a day early, the crew builds and runs each function to the sheet, then dismantles and heads back.
You getA wedding your family attends
Fix the shift question before you fix anything else. On this belt a wedding is attended by two very different groups, and only one of them can move its dates. Family will travel for the muhurat whenever it falls. Colleagues, supervisors and their families come if the function sits in a slot their roster allows, and if it does not, you will feed a smaller hall than you planned and paid for.
Ask the working members of both families for their roster pattern before you start booking. Most of the plants here run rotating shifts, so the person you are planning around is on general duty one week and nights the next. The ceremony itself has to follow the priest. Everything else can be moved, and moving it is free. This is the shape most families here end up with.
| Function | Who it has to suit | The slot that usually works |
|---|---|---|
| Engagement or roka | Close family only | A weekday evening, after the general shift ends |
| Haldi | Family and neighbours | Morning, finished before lunch so the day stays free |
| Mehendi | Women of both families | The same afternoon, in a shaded space beside the haldi |
| Sangeet | Friends and younger colleagues | Saturday night, when nobody faces a morning shift |
| Pheras | Everyone, plus outstation relatives | Wherever the muhurat falls, at a hall close to the main road |
| Reception | The largest colleague crowd | Sunday evening, with food served throughout, not after |
| Farewell lunch | Relatives who stayed the night | Early afternoon, before the buses and trains out |
Plan the load-in and the guest arrival as two separate traffic problems. Heavy vehicles run on this stretch through the day, and a tempo carrying stage and structure moves slowly in that company, so we send it early and unload in daylight rather than promising a neat mid-morning slot. Your guests face the same road in the evening. Put signage at the turning off the main road, not only at the gate, because a venue that is obvious to your family is invisible to a driver who has never been there. Then count parking twice. A colleague crowd arrives on two-wheelers as much as in cars, and two-wheeler parking is what most halls here underestimate. Marshals at the entry are worth more than an extra light on the stage.
Size the venue for the busiest twenty minutes, not for the total headcount. A township wedding fills in waves: the shift ends, and a large group arrives together, greets, eats and leaves within the hour. That puts pressure on three places, and all three are fixable in the design. The gifting line needs space to stand beside the stage rather than across the entrance. The buffet needs counters on both sides of the hall so a queue cannot form a single long tail. And the photograph point needs its own spot away from the stage steps, or the couple will spend the evening stuck in one place. Our mandap and stage work is designed with those pressure points in mind.
Sort stay and pick-ups early, because families here are often rooted in another district. Relatives arrive by bus or train, carry luggage, and have nowhere to go between the morning function and the evening one. We arrange rooms near the venue, keep a luggage and changing point at the hall, and set pick-up timings against the actual arrivals rather than a rough promise. Elders should have a quiet corner away from the speakers. It is a small thing that decides whether they stay for the reception or ask to be dropped back early.
Settle the guest number, the number of functions and the decor level, since those three drive the quote; the lines behind it are explained on our wedding cost page, and the full service is on wedding planning in Pune. If what you need is a plant family day or a dealer evening rather than a wedding, that work sits on our event management services page.
Most people start here with a search rather than a recommendation, and the first results are the ones paying for the position or carrying the most reviews. Neither tells you whether a team has set up in a hall like yours.
Three questions separate the shortlist quickly: has the team worked in Chakan before, is the quotation itemised, and who is physically on site on the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
No. We are a Pune outfit, with the office at Anand Nagar off Sinhagad Road, and we drive up for weddings on the belt. There is no office, store or standing crew of ours in Chakan. Our team comes for the venue visit, brings the load on a tempo a day before the first function, and stays through the functions.
Start by asking both families for the roster pattern of everyone who works, then move every function except the ceremony. The pheras follow the muhurat. A sangeet works best on a Saturday night and a reception on a Sunday evening, because that is when colleagues on rotating shifts are free. Moving a function costs nothing and fills the hall.
More than the hall will tell you, and more two-wheeler space than you expect. A colleague crowd arrives in a short rush after a shift ends, much of it on two-wheelers, and cars come in at the same time. We plan marshalled parking with a separate two-wheeler area, and keep the entry lane clear so the last arrivals do not trap the first.
Cost is driven by the guest number, how many functions you hold, how heavy the structure and flower work is at each one, and whether the hall hands you power and a level floor or we bring both. Transport and crew time appear as their own lines, so you can see what the distance adds. Send the venue, date and guest count for an itemised quote.
Yes. We arrange rooms near the venue, set pick-up timings against the actual bus or train arrivals, and keep a luggage and changing point at the hall so nobody is stranded between the morning and evening functions. We also keep a quiet seating corner for elders, away from the speakers and the main crowd.
Yes, and it is common on the lawns off the highway. We treat the plot as an empty site: a generator sized for sound, stage lighting and the kitchen together, cables routed and covered, seating and walkways matted, and the approach from the gate lit. Those lines are priced separately so you can see the site work on its own.
Yes, though that is a different kind of job from a wedding. Annual days, family days and dealer evenings at a plant need gate passes, vehicle lists, safety induction for our crew and timings planned around production. It is worth briefing us early on those, because approvals inside a factory take longer than a hall booking does.
Search results do not rank planners by quality, so the label is only ever someone's opinion. Plan With YOLO has planned events since 2013 out of Pune and handles township hall weddings, highway lawn weddings and clubhouse functions in Chakan. The same crew covers Pune. Ask to see work from the same kind of event, not a showreel of somebody else's.
Start with teams that already work in Chakan — they know the venues, the loading access and the society rules, which is where most local jobs go wrong. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Chakan with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
It moves with guest count, venue, the scale of décor and stage, and whether the date is in season. A wedding date in season and a weekday corporate meeting in Chakan are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
