1. How many functions are being decorated

This is the first question and most families answer it loosely. Haldi, mehendi, sangeet, the wedding itself and the reception are five separate builds. A quote for “the wedding” might mean one of them or all five.

Doing all of them with one decorator is almost always cheaper than splitting, because the crew, the transport and much of the structure is shared. Get the quote itemised per function so you can see what each one costs and drop one if you need to.

2. Fresh flowers against everything else

The largest swing in any decoration quote. The same mandap frame can carry artificial florals, a mix, or dense fresh flower work, and the difference between the cheapest and the most expensive version is frequently more than the frame itself cost.

Fresh flowers are also bought the morning of the function at that morning’s rate, which is why an honest quote shows them as their own line rather than absorbing them. A decorator who gives you one number for “mandap with decor” is carrying that risk somewhere, and it is not in your favour.

3. The size of what gets built

A backdrop is priced by area, and area grows quickly. Going from a ten-foot stage to a sixteen-foot one is not sixty per cent more material, it is also a heavier frame, more crew and a longer build.

What usually works better than a bigger stage is a better-lit one. Which brings us to the third line people underestimate.

4. Lighting

Routinely the most under-budgeted item and the one that changes photographs most. Uplighting around a banquet hall perimeter costs a fraction of extra floral and does more to make a beige room look like a wedding. After dark at an outdoor venue, the lighting is the decoration — nobody can see your flowers without it.

5. The venue, and what it allows

Pune venues each change the cost in their own way:

  • Outside-vendor fee — many hotels and karyalayas charge one, and at some it applies per function.
  • No ceiling rigging — standard in hotel banquets, so everything stands from the floor. Heavier structure, longer build, higher cost.
  • Slot hours — if the hall opens four hours before the function, the build has to be achievable in four hours, which sometimes means a different design entirely.
  • Tie-up decorator — some venues do not allow an outside decorator at all.

6. Access and crew time

A ground-floor hall with a loading bay and a tenth-floor clubhouse with one service lift are different jobs with the same drawing. Overnight builds and same-night strikes carry a crew cost that daytime work does not.

The order to cut in

When the budget has to come down, most families start by cutting the entrance. That is the wrong end. The sequence that preserves the most is:

  1. Flower density before flower quality — a lighter design in good flowers beats a dense one in poor ones.
  2. Fewer functions decorated — keep the pheras and the reception, simplify the haldi, which is a morning at home anyway.
  3. Stage width — a foot or two off the backdrop is invisible in photographs.
