A first birthday belongs to the baby, not to the guest list. We keep the setup soft and low, the list short, and the cake cutting placed between a feed and a nap, so the birthday child is awake and calm for it.
A first birthday is a small party with a long photograph list. Most of the people coming are family, most of them want to hold the baby, and the one person the day belongs to will be awake for about half of it. So the plan starts with the routine and works outwards: the hour first, then the number of guests, then the setup.
The setup itself is gentle work. A pastel or single-colour backdrop, a cake table low enough for the baby to stand beside rather than be held over, a photo corner for the month-by-month pictures, soft seating for grandparents, and nothing tall enough to be pulled down by a child who has just learned to stand. We build on free-standing frames, so nothing is drilled into your walls, and the room is finished and quiet before the first guest arrives.

Plan a first birthday around the baby's day and everything else falls into place. The hour decides the guest list, the guest list decides the space, and the space decides the setup. Parents who get the hour right come away with good photographs and a child who was awake for the cake. Parents who choose an hour to suit the guests often spend their own party in a bedroom.
Pick the window straight after a nap and build the party into it. A baby's routine is the only truly fixed thing in the day, so treat it the way an event team treats a venue slot. A late-morning party that begins after the first nap, or an early-evening one that begins after the afternoon nap, will beat a late evening almost every time, because by then a one-year-old is running on the last of their patience and so are the grandparents.

The cake cutting is the one thing you cannot move once people are in the room, so put it early rather than saving it for the end. Cut the cake in the first half hour, take the family photographs immediately after, and let the rest be food and talking. If the baby fades before the cake, cut it anyway with the baby held; nobody looking at the photograph later will know.
A short list is a kindness to the baby. New faces, being passed from hand to hand and a room full of noise are a great deal for a one-year-old, and the crying usually starts around the tenth stranger. Invite the people who will still matter in the photographs: grandparents, siblings, the aunts and uncles who visit anyway, one or two friends with children of the same age. If the extended family cannot be cut, split the day into a small function and an open house later rather than putting everyone in one room at once. Build everything at crawling height, then check it by getting down there yourself. A child who has just started pulling themselves up will use whatever is nearest, so frames are weighted, stands go against a wall instead of into open floor, and cables are taped down and run behind furniture. Keep loose ribbons out of reach, keep small decorative pieces off low tables, and put candles and matches on the cake table rather than anywhere a hand can travel. Balloons belong above head height or in clusters, never single and loose on the floor where they get chewed. None of this shows in the photographs, which is exactly the point. Two spots carry nearly every picture from a first birthday, so spend your attention there. The cake table wants to be low enough for the baby to stand beside, wide enough for the cake, the number and a few props, and placed where light falls on faces rather than behind them. Choose the space by headcount and by how far the baby has to travel. Home is easiest on the child, because the nap, the change of clothes and the escape route are all in one flat; the limit is floor space once a dozen adults are standing. A society party room buys space and a washroom without a car journey, and the things to check are booking hours, lift access for material and the time you must vacate. A hall suits a big family, and then the side room is not optional. Start right after a nap, usually late morning or early evening. A baby who has just woken up, been changed and been fed will hold out for the photographs and the cake. Late-night parties rarely work at this age. Tell us your child's nap and feed times and we build the running order backwards from them.

Yes, home setups are most of this work. We size the backdrop from a photo of your wall, build on free-standing weighted frames so nothing is drilled, and keep the whole setup below the height a standing toddler can reach. The build is scheduled to finish before guests arrive, and everything is stripped and carried out afterwards.
A colour palette matters more than a character. The baby will not recognise a theme, but the photographs will show whatever you chose for years, so a clean palette of two or three colours usually ages better than a licensed character. Pick something the parents like. If you want a character anyway, keep it to the cake table and the return gifts.
Two waking hours is plenty. Guests arrive over the first stretch, the cake is cut early, photographs follow immediately, and then food and talking fill the rest. Planning a longer party usually means the baby sleeps through the second half. If relatives want to stay on, let them stay after the baby has gone in for a nap.
A month ahead is comfortable, and more in wedding season. Early booking mostly buys you choice of date for the party room, the cake, the photographer and the setup team. If your date is close, still ask. Small home setups can often be arranged at shorter notice, as long as the material and the room are confirmed.
