How much wedding decoration costs depends on three things you can measure yourself: how much bare surface has to be covered, how many separate set-ups the crew must build, and how many hours the venue gives them. Flowers and prints are used up; frames and drapes come back.
If you want to know how much wedding decoration cost will come to before anybody quotes you, stop counting ceremonies and start counting surfaces. Decoration is sold by what has to be covered, by how many times a crew has to build something, and by how long they are allowed inside the venue to do it. Everything else is detail laid on top of those three.

That is why the same guest list can produce two honest quotes that look nothing alike. A hall with painted walls, a built platform and a loading bay at the back needs far less than a bare lawn where the floor, the back wall and the roof all have to be carried in. The wedding is the same size. The job is not.
So before you send a single enquiry, spend an hour at the venue with a measuring tape and your phone. What follows is the method we use, and the lines that land on a decoration bill that nobody warns you about.
The three things that set the figure
How much bare surface has to be covered
Walk the room or the ground and photograph every surface you would not want appearing in a photograph. A stained side wall, an exposed girder, a run of air-conditioning ducts, a neighbouring building visible over a compound wall. Each of those is fabric, or a frame, or a printed panel, and each one has an area.
This is the number that decides most of the bill, and it has very little to do with your guest count. A small wedding in a tall hall with bare walls costs more to dress than a larger one in a hall that is already finished. The karyalayas in the older parts of the city usually come with a platform and a painted back wall, which is money you simply do not have to spend. Lawns and farm venues hand you grass and sky, which is lovely and expensive.

How many separate set-ups the crew has to build
The unit of cost here is the trip, not the ceremony. Haldi in the morning and sangeet at night in the same hall, with one change of drapes between them, is close to a single job. The same two functions in two places on one day means two frames, two crews, two vehicles and two sets of permissions, and it roughly doubles the part of the bill that is labour and transport.
So when a family says the budget has to come down, the first question back is not what to remove from the drawing. It is whether two of the functions can share a floor. That single decision moves more than any amount of trimming.
How many hours the venue gives the crew
Ask the venue, in writing, when its doors open to a decorator and when everything has to be out again. If a hall opens in the morning for an evening function, the design has to be buildable in a few hours, which means lighter structure and more hands working at once. If it opens the night before, the work happens in the dark, and night shifts are paid differently from day shifts everywhere.
The striking slot matters just as much and is almost always forgotten. Clearing a stage at two in the morning, after the last guest has left, is a second shift for the same crew. If the venue will let material stand until the next morning, put that in your brief. It is one of the few genuinely free savings on the list.
What drives wedding decoration cost: what comes back, and what gets used up
The most useful thing to understand about a decoration quote is that it holds two very different kinds of money. Some material is hired and returns to a store the next day. Some is bought, fitted and thrown away. Hired material is cheap per wedding and gets cheaper the longer a design stays standing. Consumed material costs the same whether the function runs for an hour or a whole day.
Once you can see which line is which, you know exactly where a design can be made lighter without the photographs suffering for it. Ask for a quote split this way and most arguments about the figure end quietly.
| Line on the quote | Priced by | Comes back or used up | What makes it move |
|---|---|---|---|
| Frames and structure | Per day on site | Comes back | Span, height, and whether it has to stand off the floor |
| Drapes and fabric | Per day, by area | Comes back | Ceiling height and how much wall is left bare |
| Fresh flowers | By weight, at that morning’s market rate | Used up | Density, season and the variety chosen |
| Printed panels and name boards | By area | Used up | Size, and any reprint after a spelling correction |
| Lighting and cable | Per fixture, per day | Comes back | Throw distance and the number of circuits needed |
| Labour | Per head, per shift | Neither | Build hours, night work and the striking slot |
| Transport | Per trip | Neither | Separate set-ups and the distance between them |
| Power | Per day | Comes back | Whether the venue board carries the load at all |
Read the right-hand column and you will notice something. Almost everything that moves the number is a decision you make, not a rate somebody else sets.

The lines that land on a decoration bill but are not decoration
These are the items that turn a figure you were happy with into a figure you were not. None of them is anybody being clever with you. They are what a temporary structure needs in order to stand up and be safe.
- Flooring. Grass is not a dance floor and wet mud is not a walkway. An open venue anywhere near the monsoon months needs a raised floor, or at the very least a carpeted path, and that is priced by area like everything else.
- Rain cover. A roof over the stage and over the guest seating, ordered well ahead rather than on the morning, because in a wet week there is none left to hire in the city.
- Power. An open ground has no board you can load. That means a generator with somebody sitting beside it all evening, or a temporary connection, which is a form and a deposit with the state distribution company and takes longer to arrange than families expect.
- Permission at a public edge. A welcome gate standing on a footpath, or a structure that leans over a lane, falls under civic rules for temporary structures rather than the venue’s rules. Check the current position with the municipal corporation, or with the PCMC ward office if the venue sits on that side.
- Overnight security. If material goes up the evening before, somebody has to sit with it until the crew returns.
- Access. Older buildings around Kothrud and Baner have service lifts that will not take a long section standing upright, so frames arrive in pieces and are joined on the floor. More hours, more joints, more hands.

So how much should wedding decorations cost?
Honestly, as much as you are willing to spend on the one part of the wedding that nobody takes home. The food is eaten, the photographs are kept, and the decoration exists for the few hours in between and inside the frame of those photographs. That is not an argument for spending little. It is an argument for spending it where the camera is pointing.
A figure you can defend usually comes out of three sentences. The venue is already paid for, so decoration is only buying what the venue failed to provide. The parts that appear in every single photograph, which are the entrance guests walk through, the structure the couple sits under and the light falling on both, deserve the bulk of what is left. Everything beyond those is optional, and optional means you can decide on it later, once real quotes are in front of you.
If you want a sanity check before you commit to anything, our note on planning a wedding to a fixed budget applies the same reasoning across the whole event rather than the decoration alone.

What moves after you have agreed the number
Three things change a figure you thought was settled. All three are worth asking about on the day you sign.
The date
Flowers are bought on the morning of the function at that morning’s market rate, so a date inside a festival week or a peak wedding month sits on a different flower rate from a quiet weekday in the rains. Crews are scarcer in the peak season too. If your date can still move by a week, ask what moving it does to the quote before the invitations are printed.
Changes made after fabrication starts
Changes are free on paper and expensive in a workshop. A backdrop already cut to a width cannot be made wider without a new frame behind it. Hand over the venue measurements and a decision on the stage span before anything is built, and keep your later changes to colour and flower choices.
What the venue tells you late
A rule against fixing anything overhead, a society committee limit on noise past a certain hour at a clubhouse, a damage deposit, a charge simply for bringing in a decorator. Collect all of it in writing before you brief anybody, because each one changes the drawing rather than a single row of the quote.
Work out your own figure first and every quote you receive afterwards becomes readable. We have been planning, setting up and running weddings across Pune and the rest of Maharashtra since 2013, and every row of a quote is priced on its own so you can see what returns to a store and what gets thrown away. Start with wedding decoration and setup in Pune, see what changes inside a banquet hall, then send the venue, the date and the functions you want dressed through our contact page.
Frequently asked questions
How do I work out how much wedding decoration will cost before asking anyone?
Measure three things at the venue. The bare surface you want covered, in square feet. The number of separate set-ups, counting two venues on one day as two. And the hours between the doors opening to a decorator and everything having to be out. Those three decide most of the figure, and you can collect all of them in one visit with a tape.
Is wedding decoration cheaper in a banquet hall or on a lawn?
A banquet hall is almost always cheaper to dress. The walls, floor and roof already exist, so you are only buying the stage, the entrance and the lighting. A lawn means you supply the floor, a rain cover, a power source and often a built back wall before a single flower is bought. Lawns look better in photographs and cost more to reach that point.
Which parts of a decoration quote are hired and which are thrown away?
Frames, drapes, lighting fixtures, cable and power are hired and go back to a store the next day. Fresh flowers, printed panels, name boards, foam, tape and ties are bought and discarded. Labour and transport are neither. Knowing which row is which tells you where a design can be made lighter without the photographs changing at all.
Does the guest count change the wedding decoration cost?
Less than most families assume. Guest count drives seating, catering and the size of the guest area, but the stage, the entrance and the backdrop cost the same whether a hundred people or three hundred are watching. A small wedding in a tall hall with bare walls can easily cost more to decorate than a larger one in a finished hall.
When is it too late to change the decoration design?
Once fabrication starts, which is usually about a fortnight out. A frame cut to a width cannot be widened, and a printed panel cannot be stretched, so changes at that stage mean new material rather than an adjustment. Colour, flower variety and the number of corners dressed stay changeable much later. Fix the stage span early and the rest stays flexible.
Do we need permission for a welcome gate or a pandal in Pune?
If any part of it stands on a footpath, a lane or other public land, yes, and that sits with the civic body rather than with the venue. Inside a private lawn or a karyalaya compound, the venue's own rules apply instead. A society clubhouse adds a third layer, because the committee sets the setup window, the noise limit and usually a deposit.
