Up here you are not building on empty ground, you are working inside a resort that already has rules, staff and other guests. We read those rules first, then design, bring the production up and run the days.
Lonavala is an hour up the expressway from us, close enough that a site visit can happen the same week you call, far enough that everything still has to travel. The belt runs on resorts, hotels and villas, and that changes the job completely. You are working inside a property that already has a kitchen, staff, power and paying guests in the next block, and every one of those brings a condition with it.
Companies come up for offsites, strategy meets, team days and annual planning sessions. Families come up for destination weddings, receptions, milestone birthdays and anniversaries, because a weekend away is simpler to hold together than a week of functions at home. Both kinds of event turn on the same two things: what the property allows, and the weather on the day.
We work from one office in Pune and nothing of ours sits up here. Stage, sound, lighting, screens and branding travel up with our technical team, usually the day before the build. Flowers, extra labour and housekeeping are taken locally. The trip is short, so it is priced as a short trip and shown on its own line.

Plan a Lonavala event around the property first and the design second. Unlike a bare lawn, a resort hands you a working kitchen, rooms, staff and power, and hands you a rulebook with them. Nearly every disappointment up here starts with a design approved before anyone read that rulebook.
The short drive genuinely changes the plan. A site visit can be done and back in a day, so nobody has any excuse for designing from photographs. The technical team can go up the evening before instead of camping for days. A forgotten part can still reach you by road on the morning, which is not true of anywhere further out. What the hour does not buy is a relaxed schedule on a Friday or a Saturday, when the road fills with weekend traffic and a load that leaves late arrives in the middle of your guests' check-in. We send vehicles early and keep the noisy part of the build in the gap between one set of guests leaving and yours arriving.

Treat rain as a certainty and plan two versions of every day. People come up here in the monsoon on purpose, so telling a client to avoid those months helps nobody; what works is a covered plan that is good in its own right rather than a grim fallback. Book a property whose indoor space holds your full headcount, not the half that would stay dry. Keep the walk between rooms, dining and stage short and covered, because guests in good clothes will not cross an open lawn in rain. Expect damp: cabling is raised and taped, screens and speakers get covers, and paper print is swapped for material that survives moisture. Mist is the thing nobody plans for, and it will soften a stage picture, so lighting is set closer and warmer.
The programme is set by check-in and check-out, whatever the occasion. A corporate group arriving late morning cannot start a serious session until after lunch, so the first afternoon takes a shorter working block and the evening takes the team part. A wedding party arriving on a Friday needs the functions spaced so nobody spends the whole stay getting ready. In both cases hold one indoor room for the entire trip rather than moving between spaces, because every reset costs you an hour. One clear build day usually does for a corporate event and two for a wedding with several functions, because a property gives you a room rather than a field. Settle the date first, since weekends and long holidays are held early and those same dates carry the highest tariffs. Then settle the headcount and the room block together, because at a resort they are one decision. Then read the rulebook. Not always, but it is worth asking the price of. Taking a property exclusively gives you control of sound timings, load-in hours and the pool and deck areas, and it keeps strangers out of your photographs. A partial booking suits a small corporate group and costs less, though you then plan around the property's other guests rather than the other way round.
Late morning arrival, with anything serious starting after lunch. The road fills on Friday evenings and through weekends, so guests who leave late arrive tired and the programme slips behind. For a corporate group we keep the first afternoon to a shorter working session and give the evening to the team part. Wedding functions get spaced across the stay.
Three to four months for a wedding or a large offsite, and around eight weeks for a small group. Properties here are sold as stays, so a good lawn with a room block on a weekend goes early, and long holidays go earliest of all. Once the property is held, the design, the rules and the production can be settled calmly.
