Floor plan
Stall sizes that fit a desk and two or three chairs, aisles wide enough for a waiting queue, and the bigger institutes placed so they pull people deep into the hall.

Nobody walks out of an education expo with a purchase. They walk out with a shortlist — which means the desks, the seating and the queue matter more than the backdrop.
At a product expo a visitor looks, takes a brochure and moves on. At an education fair a parent sits down with a counsellor for fifteen minutes and asks about fees, placements and hostels. That single difference changes the stall size, the aisle width, the seating and the whole floor plan.
It also changes the timing. Education fairs live or die on the admission calendar — run one a fortnight after results and the halls are full; run it a month late and the same institutes will not take a stall next year.
And the leads have to be real. Colleges measure a fair by whether the enquiries convert, so capture has to be at the desk, attributable to the institute, and defensible when somebody audits it.
Every photo here is from an event our team planned and ran.
The layout follows from one fact: every conversation here is a sit-down.
Stall sizes that fit a desk and two or three chairs, aisles wide enough for a waiting queue, and the bigger institutes placed so they pull people deep into the hall.
The brochure, the rate by position and size, category balance across streams, and a cap so one stream does not take over the fair.
Sessions on entrance exams, careers and studying abroad — the reason many families come, and what keeps them on the floor between stalls.
Visitor registration at entry, capture at each desk, and a report per institute that stands up to being checked.
Seating, water, washrooms and clear signage. Parents decide, and an uncomfortable parent leaves before the shortlist is made.
School tie-ups, coaching centres and local media aimed at the exact cohort, rather than general advertising that fills the hall with the wrong visitors.
The main format: many institutes, counselling desks, seminars.
Universities and consultants, with visa and funding sessions.
One campus, deeper tours, current students on hand.
Information-led, free entry, sponsored by coaching institutes.
Pre-school and K-12, where the parent is the whole audience.
Short courses and placement-linked programmes.
Employers rather than institutes, with interview rooms.
See convocation organising for the ceremonial side.
Five things, and the stalls are not the first of them.
A fortnight after results is full; a month later is empty. The admission calendar sets the date and everything else moves to fit it.
A counselling conversation takes ten to twenty minutes and needs a desk, chairs and somewhere for the next family to wait. Stalls designed like product booths leave parents standing in an aisle, and the conversation does not happen.
Seminars on entrance exams, careers and study abroad hold families on the floor for hours instead of twenty minutes. Institutes feel the difference directly.
Captured at the desk, attributed to the institute, reported honestly. A footfall number with no attribution is what makes an institute skip the next edition.
Promotion through schools, coaching centres and the channels that cohort actually uses. A hall full of the wrong people is worse than a smaller hall full of the right ones, and institutes can tell the difference by lunchtime.

The listings for Pune are ordered by ad spend and review count. Both are worth something, and neither answers whether the team has worked your kind of venue.
A team that has worked Pune knows the access, the power and the society timings. Ask for that, ask for the breakdown, and ask who runs the day. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Against the admission calendar — typically within a few weeks of board or entrance results, when families are actively shortlisting. The same fair held a month later draws a fraction of the footfall, and institutes judge whether to return on exactly that.
Big enough for a desk, two or three chairs and a waiting family — which is larger than a product expo booth of the same price. Aisles also have to absorb a queue outside the popular stalls without blocking the hall.
Visitors register at entry and each desk captures its own enquiries, so every lead is attributable to an institute. The closing report gives numbers per institute that can be checked, rather than a single footfall figure.
Yes — entrance exam briefings, career sessions and study abroad talks, scheduled so they pull families onto the floor through the day. For many visitors the seminar is the reason they came, and it is what keeps them there between stalls.
Through schools, coaching centres, alumni networks and media aimed at that specific cohort, rather than general advertising. Institutes can tell within a few hours whether the hall holds their prospects or passers-by.
Yes. One campus, a tour route, current students on hand and sessions for parents. It is a smaller job with the same core problem — making sure the conversation that decides an admission actually happens somewhere comfortable.
Reviews and ads decide who appears first, not who runs the better event. Plan With YOLO has planned events since 2013 out of Pune and handles admission and career fair, study abroad fair and single-institute open day in Pune. Ask what happens to the price when a number moves; a single figure tells you nothing.
Look for a team that has already worked in Pune, because venue access, power and society timings are local knowledge and cost you a day to learn. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
There is no standard rate — the cost follows the guest count, the venue, how much décor and stage you want, and the date. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.

Which courses, roughly how many institutes and when results are out. The date comes from the calendar, and the floor plan from the counselling.
