In practice that means a recce of the rooftop, garden, restaurant corner or room first, an access window agreed with whoever holds the key, supplier call times with a buffer built in, and a venue briefed so nobody greets you with congratulations before the moment. Your photographer is placed and briefed before you walk in. In the monsoon, a covered alternative is held from the day we start planning.
We keep details with the people who need them and take instructions from one person only. Nothing is discussed in a group chat, no supplier is told more than their own task, and the setup stays out of your partner's line of sight until you are both standing in front of it. A proposal is two jobs: keeping the secret and hitting the time. The decor is the easy part. Almost everything that goes wrong does so because somebody spoke too early, or because the setup was still being built when you walked in.
So start from the moment itself. Decide where you will both be standing, and at what time, then work backwards through the whole evening from that point. The access window, the supplier call times, the cover story and the photographer's position all follow from those two details.
Fix the spot precisely, not just the venue. A rooftop in Kalyani Nagar is not a plan. The corner of that rooftop where your partner will stand, facing away from the door, with the lights behind them, is a plan. Once the exact spot is settled we know the approach route, and that decides what can be seen on the way in and what has to stay covered until the last minute.
Then set the access window. We need the space to ourselves for a stretch before you arrive, and we need to know who opens it for us. In a society that means the secretary or caretaker knows we are coming. In a restaurant it means the manager has agreed a time when the corner is ours and the floor staff are briefed. Build in a buffer, because partners who are usually late are punctual on exactly the wrong evening.
Decide who knows, what each of them knows, and how you will talk to them. Write it down once and hold to it. Proposals are usually spoilt by a well-meaning person who was told more than they needed.

Two technical details catch people out: shared accounts and shared calendars. A booking confirmation, a payment alert or a calendar invite syncing to a device your partner picks up has ended more surprises than any talkative friend. Use one phone, one chat, and a booking name that means nothing to them.
Check the actual sunset time for that week, then set the moment before it rather than at it. Outdoor light drops faster than people expect, and a photographer with a few spare minutes gets you pictures that one arriving on the dot never will.
Between June and September, plan for rain from the beginning. Hold a covered or indoor alternative, and agree an hour earlier in the day when we make the call and switch, because moving a setup takes real time. For a drive out towards Lonavala the call has to come even earlier, since the drive is the part the rain ruins, not the decor.
Plan the next hour before you plan the decor, because that is where the evening usually stalls. Decide whether dinner follows immediately, whether friends or family are joining, and whether anyone is calling parents that night. Think honestly about what your partner would want: some people want a room full of friends ten minutes later, others want to sit quietly and speak to nobody.
Decide the small things too. Who carries the flowers home, who clears the setup, who holds the ring box before and after. If friends are coming in, give them a waiting place out of sight and one person who will message them. And agree one rule with everybody: nothing goes online until the families have been told, whether you are on a terrace in Bavdhan or at a corner table in Camp.
