Event Planners in Pune: The Four Kinds, and Which One You Need

Event Planners in Pune: The Four Kinds, and Which One You Need
Quick answer

Four different businesses in Pune call themselves event planners: full-service planners who run the whole event, decorators who build and dress it, production houses who supply stage, sound and lighting, and venue coordinators who manage only what happens inside their own hall. Hiring the wrong one is why budgets slip.

Search for event planners in Pune and the results mix four businesses that do genuinely different jobs. They quote differently, they are responsible for different things, and the gaps between them are where events go wrong — because nobody owns a gap they did not know existed.

1. The full-service planner

Takes the brief, builds the budget, books and coordinates everyone, writes the run sheet and is on site running the day. Decor, catering, production, hospitality and timing all answer to one person.

Charges: either a percentage of the total budget, a flat planning fee, or a margin inside an itemised scope. Ask which, because the incentives differ — a percentage fee rises when your budget rises.

Right when: the event has more than two moving parts, or you do not have somebody who can give it their full attention for the week before.

2. The decorator

Designs and builds what the event looks like: stage, backdrop, entrance, florals, seating, lighting of the decor. Many in Pune also arrange sound and manpower through partners.

Charges: per element, usually itemised — so much for the stage, so much for the entrance, so much for flowers.

Right when: you or the venue are handling the running of the day and you need the room to look like something.

3. The production house

Supplies and operates the technical layer: stage structure, truss, LED walls, line-array sound, concert lighting, generators, and the crew who rig and run them.

Charges: per item per day, plus crew and transport.

Right when: the event is a show — a launch, a conference, an annual day with performances — and the technical side is the hard part rather than the decoration.

4. The venue coordinator

Works for the hotel or hall, not for you. Manages the room, the in-house catering and the venue’s own rules, and will help within those walls — but does not book your decorator, does not run your programme, and goes home when their shift ends.

Charges: nothing extra, because they are part of the venue package.

Right when: the event is contained, in-house catering is fine, and somebody on your side is running the actual programme.

The gap that costs money

The most common failure in Pune is a family or a company that books a decorator and a caterer separately, assumes the venue coordinator will join them up, and discovers on the day that nobody is responsible for the schedule. The decor team is still building while guests arrive because nobody told them when the hall was free. Food opens during the speeches because nobody gave the kitchen a run sheet.

None of those three parties did anything wrong. The job of joining them was simply never given to anyone.

What to ask, whichever kind you hire

  • Who is on site, and from what time? A named person with a phone number, not “our team”.
  • What is in house and what is subcontracted? Service by service. It tells you where delays will come from.
  • Is the quote itemised? Decor, stage, sound, lights, printing, crew and transport as separate lines. A single figure cannot be compared or cut.
  • Have you worked this venue? Pune venues each have their own rules on outside vendors, rigging, slot hours and sound cut-off.
  • Show me three events my size. Not the biggest one ever done — three like mine.

Which one do you actually need?

  • Corporate conference or dealer meet — planner, or production house if you have an internal coordinator.
  • Wedding across more than one function — planner. The coordination between days is the whole job.
  • Single wedding function at a venue with in-house catering — decorator plus the venue coordinator is often enough.
  • Product launch or annual day with a show — production house, with a planner if there is hospitality and a programme to run.
  • Office party for sixty people — decorator, and somebody internal with a timetable.

Plan With YOLO is the first kind, with the second and third in house — planning, design, printing and production under one roof, quoted line by line. If what you need is only decor or only production, say so and we will quote that alone rather than selling you coordination you do not need. Our services page lists the lot, and how to judge an event company covers comparing three of us properly.

Frequently asked questions

What is the difference between an event planner and an event decorator in Pune?

A planner runs the whole event — budget, vendors, run sheet and the day itself. A decorator designs and builds what it looks like: stage, backdrop, entrance, florals and seating. Many events need both, and the mistake is assuming a decorator will also coordinate the caterer and the schedule.

How do event planners in Pune charge?

Three ways: a percentage of the total budget, a flat planning fee, or a margin inside an itemised scope. Ask which before anything else — a percentage fee goes up as your budget goes up, which is worth knowing when you are being advised to spend more.

Do I need an event planner for a small function?

Often not. For sixty people at a venue with in-house catering, a decorator plus somebody internal holding a timetable will do. A planner earns their fee when there are several vendors, several functions, or nobody on your side who can give the week their full attention.

What does a production house do that a planner does not?

Owns and operates the technical layer — stage structure, truss, LED walls, line-array sound, concert lighting and generators — and supplies the crew to rig and run them. Planners coordinate; production houses build and operate.

Is the hotel's event coordinator enough?

They work for the venue, not for you. They will manage the room, the in-house catering and the house rules, which is genuinely useful. They will not book your decorator, write your run sheet or chase a vendor who is late, and they finish when their shift does.

How early should I book an event planner in Pune?

Four to six weeks for a straightforward corporate event, two to three months for a wedding or anything with custom printing and a built stage. In wedding season and through December's annual-day season, the crews worth having are committed well before most people start calling.
