Shell-scheme upgrade
You already have panels and a fascia. The spend is almost all graphics, lighting and furniture — the cheapest way to look professional.

Stall quotations are hard to compare because no two are itemised the same way. This page explains what the price is made of and what moves it, so you can read three quotations and know which one is cheapest for the same stand.
Because they are not quoting the same stand, and usually neither says so.
The common gaps: one includes furniture and the other rents it to you later. One includes the electrical connection and the other leaves you to order it from the organiser. One includes dismantling and one charges for it afterwards. One has a laminate finish and one has paint. One is building the walls and one is renting system panels that go back.
Ask for every quotation to be split into design, structure, graphics, furniture, electrical and lighting, services ordered from the organiser, installation, and removal. Three quotations in that shape can be compared in ten minutes. Three lump sums cannot be compared at all.
We will not publish a rate per square metre on this page, because any number we put here would be either so wide that it tells you nothing or precise enough to be wrong for your stand. Send a plot size and we will send a real number the same way we would invoice it.
You already have panels and a fascia. The spend is almost all graphics, lighting and furniture — the cheapest way to look professional.
Raw space up to about 18 square metres. Structure becomes the biggest line, graphics second.
Around 18 to 50 square metres. Storage, a meeting area and a proper lighting plan start to matter.
Above 50 square metres. Height, structure and organiser approvals drive the cost as much as area does.
A second storey adds structure, stairs, railings, load calculations and an approval process. Expect a step change, not an increment.
Add the platform, the roof and weather protection that a hall would have given you free.
Costs more once and far less across three or four shows. Worth it from roughly the third show a year.
If any of these is missing from a quotation you have been given, it has not gone away — it will be billed later.
Layout, 3D views and revisions. Some contractors absorb it into the build; either is fine as long as you know.
Walls, platform, ceiling or truss, counters, storage. The biggest line on a custom stand.
Panel prints, fascia, backlit fabric, lettering. Priced by area and by substrate.
Wiring, fittings, the distribution board. Separate from the power connection itself.
Chairs, tables, display units. Rented or built — ask which, because it changes the look.
Crew, transport, both slots. The line most often missing from a cheap quotation.
Every photo here is from an event our team planned and ran.
There is a right order for this, and most people cut in the wrong one.
Cut area first. A smaller plot built well beats a larger plot built thinly, and the saving is immediate — you pay the organiser less and you build less. A crowded small stand also reads as busy, which is not the worst thing at a trade show.
Then cut height and structure. A branding tower is lovely and is the first thing to go. A single high, legible sign does most of its work for a fraction of the cost.
Then rent instead of building. Furniture, display units, screens — renting looks identical for four days.
Do not cut lighting. It is a small line and it is the difference between a stand that looks finished and one that looks cheap. Hall lighting is flat and grey, and a stand lit only by it looks like a storeroom.
Do not cut the graphics quality. A poorly printed panel at eye level is read as carelessness about everything else, which at an engineering show is exactly the wrong signal.
Do not cut the meeting space. It is the part that makes the money back.
Nobody ranks planners on how their events went. What the results rank is visibility, which is why the shortlist matters more than the order it arrives in.
Ask for an itemised scope, ask who is on site on the day, and ask what they have set up in Pune already. The answers sort a list of ten down to two. Our contact page has both numbers and WhatsApp, and you will get an itemised scope back rather than one figure.
Can't find yours? Call or WhatsApp — a planner answers.
Take a shell-scheme plot and spend the money on graphics, lighting and one good demonstration. A well-lit shell stand with a clear message and something happening in it beats a bare custom plot of twice the size. The mistake is taking raw space because it sounds better and then having no budget left to build it.
No, and this surprises first-time exhibitors most. The organiser sells you floor space. The stand, its graphics, furniture, the electrical connection, internet and sometimes even the carpet are all separate. Budget roughly for the stand to be a significant multiple of the space, not a fraction of it.
Not on its own. What gets leads is being visible from down the aisle, having something running, and having somewhere to sit and talk. We have watched eighteen-square-metre stands out-perform plots three times the size at the same show because the big one was empty space with a logo on the back wall.
Only if it is designed to come apart, and that decision has to be made at the brief, not afterwards. Tell us if you exhibit more than twice a year and we will design for it — the first show costs a little more and the second and third cost much less.
Space is usually booked and paid months ahead, and the good plots go first. That is separate from what you pay us. If you are still choosing a show, book the space early and design the stand later — the plot you get matters more than almost anything you build on it.
We can give a range, but it will be a wide one. Send the plot size, which sides are open and what you are exhibiting, and the number gets specific immediately.
That phrase has no official meaning, so the useful question is what to compare. Plan With YOLO has planned events since 2013 out of Pune and handles shell-scheme upgrade, small custom stand and mid custom stand in Pune. Ask which parts are handled in house and which are being passed to a third party.
The shortlist worth having is teams who have set up in Pune before; venue quirks are the part nobody writes in a quotation. Our office is in Anand Nagar off Sinhagad Road and the crew travels to Pune with its own kit. Send the date, the venue and a rough guest count and you get a scope back the same day.
The number depends on guests, venue, décor and stage scale, and how close to the date you book. A wedding date in season and a weekday corporate meeting in Pune are not comparable, so a quoted range before anyone has seen the brief is not worth much. You will get an itemised scope for your own event, and every line on it can move.
