Start with approvals and the date, not the artist. The committee's best ideas are wasted if the principal, the venue or the local authority has not signed off on the date, the timing and the sound plan.
Begin eight to twelve weeks before the gathering. In the first fortnight, lock the date, budget and venue with the faculty coordinator. Then finalise sponsors, because sponsor money often decides how big the main night can be. Artist and DJ confirmations come next, followed by stage design and branding. Keep the final two weeks for rehearsals, passes and a full technical setup.
Decide the budget before shortlisting names, and remember the artist fee is only part of the cost: travel, stay, technical riders and security add to it. Ask for the technical rider early, since the stage, sound and lights must match it. We coordinate those needs so your committee is not negotiating sound specifications the week before the show.
A closing night with a popular act can draw far more people than the college expects, including students from other colleges. Plan for it:
Most gatherings fall between December and March, which is good weather for open grounds. Monsoon-season freshers and events need an indoor hall or a covered stage. If your ground has no power supply, plan generators and their fuel from the start.
Keep sponsors happy. Write down what each sponsor was promised, such as logo size, stage mentions or a stall, and share it with the production team before branding goes to print. Sponsors who get what they were told come back next year, and that makes the next committee's job much easier.
