Event Coordinator

Pune (Anand Nagar) / on-site at eventsFull-time1–3 years

Coordinate weddings, corporate events and private celebrations from planning to the last guest leaving. You will be the link between clients, vendors and our on-ground team.

What you'll do

  • Prepare event timelines, run sheets and checklists
  • Book and coordinate venues, caterers, decorators and other vendors
  • Be the day-to-day contact for clients during planning
  • Manage set-up, guest flow and timings on event days
  • Track budgets and vendor payments against the plan
  • Solve on-the-spot problems calmly during live events

What you'll bring

  • 1–3 years in events, hospitality or a related field
  • Strong organisation and follow-up habits
  • Clear communication in English and Hindi; Marathi is a plus
  • Comfortable with late evenings, weekends and on-site work
  • Working knowledge of Google Sheets or Excel
  • Willing to travel across Pune and Maharashtra for events

Production & Technical Executive

Handle stage, sound, lighting, LED and fabrication for our events. You will make sure every set-up is built safely, on time and exactly to design.

What you'll do

  • Plan technical requirements for stage, sound, lights and screens
  • Coordinate with fabrication, AV and lighting vendors
  • Read layouts and check venue measurements before set-up
  • Supervise load-in, rehearsals and teardown
  • Check power, safety and backup arrangements on site
  • Track materials, props and hired equipment for each event

What you'll bring

  • 1–3 years in event production, AV or stage fabrication
  • Practical knowledge of sound, lighting and LED set-ups
  • Ability to read basic layouts and floor plans
  • Comfortable leading vendor crews on site
  • Willing to work long event days, nights and weekends
  • Safety-first attitude and attention to detail

Design invitations, event branding, décor visuals and social media content for our clients and for Plan With YOLO. Your work will be seen at real events and online.

What you'll do

  • Create invitations, signage, backdrops and event branding
  • Prepare mood boards and décor concept visuals for proposals
  • Design social media posts, reels covers and ad creatives
  • Adapt designs for print, large-format and digital use
  • Work with printers and fabricators on final files
  • Maintain brand consistency across client projects

What you'll bring

  • 1–2 years of design experience, or a strong portfolio
  • Good command of professional vector, photo and layout tools
  • Understanding of print files, sizes and colour
  • Eye for typography, layout and current design trends
  • Basic video editing for reels is a plus
  • Able to take feedback and meet tight deadlines

Client Servicing / Sales Executive

Turn enquiries into confirmed events and keep clients happy through the planning process. You will understand what each client wants and help shape the right proposal.

What you'll do

  • Respond quickly to enquiries by phone, WhatsApp and email
  • Meet clients to understand their event, budget and style
  • Prepare quotations and proposals with the planning team
  • Follow up on proposals and close bookings
  • Keep clients updated and handle their questions until handover
  • Maintain an organised record of leads and bookings

What you'll bring

  • 1–3 years in sales, client servicing or hospitality
  • Confident, friendly communication in English and Hindi; Marathi is a plus
  • Good at listening and understanding client needs
  • Organised with follow-ups and records
  • Comfortable with targets and client meetings
  • Interest in weddings, events or the creative industry
